Frequently Asked Questions


Specific policies may be found a number of ways. Options include:

  • Browsing by policy number (this may be most helpful until you get familiar with the new site);
  • Entering a keyword in the Search;
  • Browsing by chapter (e.g., Faculty Affairs, Human Resources);
  • Browsing the full alphabetical list of policies; or 
  • Browsing by policy owner or by contact person (this helps owners and contact persons keep track of their policies and informs members of the UNT Community where to direct questions or comments).

The Disposition Table is updated every time there is a substantive policy change. The Disposition Table provides a listing of policies that have been deleted or substantively revised, including the reason the policy for the substantive policy change. You also may subscribe to the Policy Listserv if you want to receive policy news and updates.

Only one version of a University-wide policy may exist and that version resides on the official policies page. This is to ensure proper updating of policies, and consistency in presentation. Any policies referenced on a department web page should link back to the official web page. In other words, do not cut, copy, and paste the policy onto the departmental page, but link to the policy that resides within the University Policy Manual on the official policy page.  

The policies on this web site will remain in effect until such time that they are revised or deleted. This website is a dynamic site which means that it could change on a frequent basis throughout the policy review process. The numbering of the current polices also will be affected by this review process, so do not be alarmed if policy numbers are not in sequential order.  If different versions of these policies appear elsewhere, the version appearing here shall be the official version and take priority over any other inconsistent or conflicting version. 

The review process is a huge undertaking and will be an ongoing effort. The policy specialist has developed a timeline for the transition of all policies and is working with each policy proponent/owner to guide the process. The Policy Advisory Group continues to meet and make progress. The scheduled timeline does not preclude revising policies as the need arises. 

Non-substantive policy changes are changes that primarily pertain to technical revisions such as changes to position titles, words, definitions, procedures, grammar corrections, etc. (i.e. - changing the number of people on a committee from four to five.)  Note: All non-substantive changes are subject to approval by the UNT System Office of General Counsel.
  1. Contact the policy specialist who will assist in determining whether the change is substantive or  non-substantive.
  2. Complete the Policy Approval Form, attach the revised policy and obtain the appropriate signatures.
  3. Submit a hardcopy and an electronic version of the policy draft to the policy specialist, along with a redline version of the proposed changes.
  4. Non-substantive changes will be made to the policy website. 

 

Substantive policy changes are changes that: 1) affect the University’s legal, regulatory, financial and ethical obligations, responsibilities, or 2) affect the way the University’s business is conducted in support of mission-critical operations impacting the roles of various departments across the University, or 3) affect the actions required by a targeted audience to remain in compliance with the policy provisions.

 

To make a substantive change to a policy, you should:

  1. Contact the policy specialist who will assist in determining whether the proposed change is substantive or non-substantive.
  2. Complete the Administrative Policy Planning Worksheet and submit it to the policy specialist.
  3. Transfer the policy to the UNT Policy Template and highlight the substantive changes. Submit an electronic version of the policy to the policy specialist.
  4. Policy Proponent/owner of the policy will present the policy to the Policy Advisory Group.
  5. PAG will review, discuss and determine the final version of the policy. (Note: Some recommended changes to existing policies may go to the President or the President’s Cabinet for approval or disapproval.)
  6. The policy specialist will update the UNT policy website. 
  1. Complete the Administrative Policy Planning Worksheet and UNT Policy Template, obtain the necessary approvals and then submit to the policy specialist.
  2. Policy Proponent/owner of the policy will present the policy to the Policy Advisory Group. 
  3. Policy Advisory Group will review, discuss and make a determination on the final version of the policy. (Note: All new policies will require approval from the President.)      

Yes. All policies will be transferred to the new policy template by May 2011. This template, created by the Office of General Counsel, will provide uniformity to all policies. The policy specialist is also available to assist in understanding how to use the new template.  You may access a copy of the template in the Forms & Tools section of the policy website.

The Policy Advisory Group (PAG), chaired by the policy specialist, was established in July 2008 for the sole purpose of reviewing substantive policies. This group consists of representation from various groups across the campus such as Staff Council, Faculty Senate, and Athletics.   See the complete list of PAG membership.

The Policy Advisory Group will review all proposed, new and substantially revised policy documents providing guidance and feedback with each one receiving maximum input and consideration. 

 

The goals of the policy project are to:
  1. Standardize the policy format;
  2. Eliminate redundancies;
  3. Improve organization, accessibility, search and navigation;
  4. Clarify processes for submitting new policies and revising existing policies; and
  5. Create a policy archival process. 

 The president authorized a comprehensive review and where necessary, revision of the entire UNT Policy Manual to ensure the University is operating with a clear, concise, up-to-date set of policies that reflect the most fair and efficient practices as well as the UNT System's Regents Rules.
