Description of the Data Elements in a Batch Record
The table contains, for each data element in the
record, the name of the data element, the data format
and size, the data element status, groups, value
selection list, and repeats. The definitions of
the matrix column titles are listed below.
Data Element Name
The name of the data element.
Format/Size
The data element type and size. The data element
types are presented below.
Varchar
Can be character and numeric values, with a
length up to 255.
Numeric
Can only be numeric values
Text
Can be character and numeric values with a fixed
length of 4,000 characters
Date
Format is YY/MM/DD
Value
A set if choices from a predefined list.
There are three specific formats that need to be followed
for EIR_Grants.GrantNum, Patent.PCTNum, and Utilize_New.FiscalYear.
EIR_Grants.GrantNum
NIH grants:
The grant number must be in the form AA###### where
A is a character and # is a digit. USDA/CSREES grants:
The grant number must be in either the form YY-#####-####,
YY-LLLL-D-####, XX-LLLL-D-####, or XX-AAAA-D-####,
where YY represents the fiscal year, L is an uppercase
letter, D is the numbers 1, 2, or 3, A is either
a number or an uppercase letter, and X is the

Patent.PCTNum
The PCT Number has the following format: PCT/country
code, fiscal-year/###### (for example, when the
PCT country is the United States of America and
the fiscal year is 2007 the PCT Number is: PCT/US2007/123456).
Utilize_New.FiscalYear
The format is ####. For example, 2001.
Status
Defines whether a data element is required or
not. The three choices are required, or optional,
optional/required.
Required means that
the user must fill in the field.
Optional means that the field can be filled in
if needed.
OptReq means that although the field is considered
optional, if the previous field is filled in then
data submission is required.
Groups
Certain data elements must be submitted in groups.
There are three groups defined in the Interagency
Edison/Edison system. A number indicates that
all of the data elements with the same number
must be grouped together.
For example, EIR_Grants.GrantAgency and EIR_Grants.GrantNum
are grouped together. Thus for each instance of
an optioned EIR_Grants.GrantAgency, an EIR_Grants.GrantNum
must follow.
Value
Indicates that the value for this data element
must be one of the values from the value selection
list.
Repeats
Indicates the maximum number of repeat occurances
that can be inputted. For example, the EIR_Grants.GrantAgency
and EIR_Grants.GrantNum can be repeated up to
seven times.
