Announcement

The National Network of Libraries of Medicine (NN/LM) Middle Atlantic Region (MAR) is accepting applications for Exhibit Awards from NN/LM MAR Full and Affiliate Members.

Purpose

The purpose of the Exhibit Award is to allow full and affiliate members to exhibit at regional, state, or local health association meetings, consumer health fairs, or at meetings of community organizations, particularly those that serve underserved populations, to promote the products and services of the National Library of Medicine (NLM) and the National Network of Libraries of Medicine (NN/LM), Middle Atlantic Region (MAR). Exhibits have proven to be an effective way to reach large groups of health professionals, community organizations such as public libraries, and health intermediaries including health educators, librarians, and health promoters that provide health information to consumers. Additionally, exhibits enable local librarians to meet with specific clients in their own area to promote the services and resources of their own institutions.

Up to $2,000 is available for costs associated with exhibiting. Exhibit awards must be applied to an exhibit held within nine months of the award date.

Requirements

Exhibits should target health science library associations, state library associations, community organizations serving consumers, or state or local healthcare professional associations, in particular those whose members work with underserved populations such as minority communities. Library associations or consortia that include network members may apply as an organization if they have a tax identifier number.

Applicants are encouraged to look for other exhibiting opportunities beyond this suggested list for other exhibiting opportunities.

Exhibit Award recipients will be provided with a tabletop exhibit kit for loan. The tabletop exhibit includes a frame, display panels, and lights in a shipment case. NLM and NN/LM promotional materials will be provided for recipients to distribute at exhibits. Shipping is also provided. The award recipient is responsible for ordering all booth space, equipment, electricity, Internet data lines, and labor (if applicable). The recipient is expected to reproduce NN/LM and NLM Fact Sheets and/or NLM and NN/LM brochures for distribution. The recipient is required to display prominently the NN/LM logo on the exhibit. The recipient will keep a record of contacts and submit a final report to MAR.

Application Process

The applicant should complete the Exhibit Award online application. Attachments, such as resumes, letters of support, and equipment quotes may be sent by fax to 212-263-4258 or attached to an email sent to rml@library.med.nyu.edu. Please use the title of your project as the subject line of the email.

MAR staff will acknowledge receipt of your application and provide notification of awards within 10 business days.

Cost Proposal Instructions

Total expenses must not exceed $2,000.
Allowable expenses include:

  • Meeting registration
  • Travel
  • Publicity
  • Booth rentals
  • Electricity
  • Telephone lines/data lines
  • Equipment rental

Non-allowable expenses include:

  • Indirect costs
  • Personnel costs
  • Food or furniture; and no more than 5% of budget can be used for print materials.

Application Review Process

Applications will be reviewed by the MAR staff. Reviewers may contact the applicant with questions or comments for clarification and revision of the proposal. The merits of each application will be carefully evaluated, based on responsiveness to the call for applications. Applicants must submit information sufficient to evaluate their applications based on the criteria listed below.

Reporting Requirements

A final report, including a blog/newsletter article, must be submitted using the appropriate form within 30 days of completion of the project. Award recipients are encouraged to take photographs for inclusion in the report and article.

Recipients agree to allow the NN/LM MAR to republish reports. Reports must be submitted to rml@library.med.nyu.edu.

National Institutes of Health (NIH) Public Access Policy Requirement
In accordance with the NIH Public Access Policy investigators must submit or have submitted for them their final, peer-reviewed manuscripts that arise from NIH funds and are accepted for publication as of April 7, 2008 to PubMed Central, to be made publicly available no later than 12 months after publication. As of May 27, 2008, investigators must include the PubMed Central reference number when citing an article in NIH applications, proposals, and progress reports that fall under the policy, and was authored or co-authored by the investigator or arose from the investigator’s NIH award.
