The University of North Texas System Business Service Center (BSC) uses online onboarding for new employees who are to begin work at any UNT System component (UNT, UNT System, UNT Dallas, UNT Health Science Center).  For onboarding functional questions, visit the Onboarding FAQ page.

WHAT IS ONBOARDING?

Onboarding is the process that a new employee goes through to both provide and acquire needed information by the first day of their employment. The process allows new employees to review benefits, parking, policies, payroll information, holiday schedules, and leave information as well as other required employee notices that will help them to become an effective employee.

WHO WILL USE THIS PROCESS?

The online onboarding process should be used by all new employees, including regular faculty and staff, adjuncts, graduate student employees, hourly employees and undergraduate student employees.

ONBOARDING FOR BENEFITS ELIGIBLE FACULTY, ADJUNCTS AND STAFF
At the time an offer of employment is provided the new hire receives an email from the Business Service Center. This email provides them with instructions and information needed to begin the onboarding process. Once the employee completes the onboarding process, an email is sent to the Hiring Manager.

Note: Adjuncts who work at UNT and are less than 50% will be provided onboarding information from the UNT Provost Office. When the employee comes to work on the first day, they will need to meet with their department to provide required I-9 documents. UNT Health Science Center and UNT Dallas employees will provide these documents to the UNT System Human Resources Department on your campus.
ONBOARDING FOR GRADUATE AND UNDERGRADUATE STUDENT EMPLOYEES
Upon hiring a graduate student or undergraduate student, the department should direct the student employee to the following site Onboarding for Student Employees. The employee will need to know their employee user identification number (EUID) and their student id number (EMPLID) In addition, the hiring department will need to provide the employee with the department identification number (Dept. ID) in order for the employee to complete the onboarding process. UNT Health Science Center student employees will need to use the following Dept. ID: S10222.

Note: The employee will need to use the “N” “D” “H” or “S” in front of the Dept.ID number. When the employee comes to work on the first day, they will need to meet with their department to provide required I-9 documents. UNT Health Science Center and UNT Dallas employees will provide these documents to the UNT System Human Resources Department on your campus.
ONBOARDING FOR NON-STUDENT HOURLY EMPLOYEES
Upon hiring a non-student hourly employee, the department should notify HRemployment@untsystem.edu. The BSC HR Employment area will create an employee identification and employee user identification number and email that information back to the department. The department will then need to direct the new employee to Onboarding for Non-Student Hourly Employees. The employee will need to know their employee user identification number (EUID) and their employee number (employee id). In addition, the hiring department will need to provide the employee with the department identification number (Dept. ID) in order for the employee to complete the onboarding process. UNT Health Science Center student employees will need to use the following Dept. ID: S10222.

WHAT DOES THE HIRING DEPARTMENT NEED TO DO FOR FACULTY AND STAFF?

  1. For Staff Hires - You will need to let the BSC know who you have selected for hire (same process as before).
  2. For Faculty Hires- You will continue to work with the Provost or your Campus HR department. They will notify the BSC when they are ready for the new faculty member to receive the Onboarding Email.
  3. The BSC will then send a Criminal History Authorization form to the selected candidate and will create an offer letter for the hiring manager to sign.
  4. Once Criminal History and Drug Screen (where applicable) have been cleared, the BSC will send the signed offer letter to the employee. The offer letter will be attached to a “welcome onboarding email.” This email will contain instructions on how to complete the onboarding process.
  5. When the BSC sends the onboarding information to the candidate, an email is generated to the hiring manager indicating the candidate has received the information.
  6. When the candidate completes the onboarding process, an email will be sent to you (or the supervisor of record) letting you know that the process has been completed.
  7. On the first day of employment you will need to ensure the new employee provides documents to the individual in your department responsible for completing the I-9 employer verification. HSC and UNT Dallas employees will need to provide I-9 documents to Human Resources.

WHAT DOES THE HIRING DEPARTMENT NEED TO DO FOR STUDENT HIRES?

  1. For Student Hires – The hiring manager will need to instruct the student to go to the Onboarding webpage on the BSC website and access Onboarding for Student Employees.
  2. The department will need to provide the employee with their Base Department ID number. If the employee is being hired at the Health Science Center they will need to use S10222 for HSC Base Department.
  3. On the first day of employment you will need to ensure the new employee provides documents to the individual in your department responsible for completing the I-9 employer verification. HSC and UNT Dallas employees will need to provide I-9 documents to Human Resources.

WHAT DOES THE HIRING DEPARTMENT NEED TO DO FOR NON-STUDENT HIRES?
