PCU 8: Office Administration and Interpersonal Relations

Description of Job Duty Competency to be Achieved

The ability to operate an efficient office in an independent manner, including utilizing good organizational, time management and computer skills. The ability to provide quality internal and external customer service, and to deal effectively with people from all walks of life.


Description of Need

Effective management skills are required to ensure all office administrative tasks are completed in a timely and efficient manner.


Specific Job Task Skills and Knowledge

1. Act as office receptionist, personally handling routine matters and routing telephone calls and visitors to appropriate staff in a professional and courteous manner.

2. Conduct and schedule tours/office visits/presentations.

3. Be proficient in the use of computers and NOAA mandated software (i.e., Corel Suite).

4. Initiate and distribute office-wide directives.

5. Manage/maintain office mail program in accordance with NOAA Mail Management Handbook.

6. Ability to operate and troubleshoot office equipment.

7. Serve as focal point for General Services Administration (GSA) vehicles.

8. Serve as records manager.

9. Demonstrate good time management and organizational skills.

10. Coordinate building maintenance issues.


Instructional Components

Instructional Component 8.1: Utilize mentoring program and Regional Administrative guide described in PCU 1. The mentoring program, as well as inclusion of the Administrative Management Guide on line, is to be implemented by Regional Administrative Management contact points. [all]

Instructional Component 8.2: Regional Administrative Management Division (AMD) and Administrative Support Center (ASC) contact points/office visits. [all]

    The NOAA Mail Management Handbook is available in each office. Information is also found on NOAA's web page: http://www.rdc.noaa.gov/~fsd/mailhdbk.html.

    GSA's web page: www.fss.gsa.gov/vehicles/leasing/ provides information on the GSA vehicle program including Mileage Express (a web-based mileage reporting system).

    Instructional Component 8.4: NISC self-study course on "Customer Service". (This course can be ordered through the NWSTC) [1-2]

    Coordinate registration for this course through your Regional Administrative Management Division (AMD) training contact point.     There may also be one-day customer service seminars offered in your area by private seminar companies.

    Instructional Component 8.5: Locally available classes and videos on computers, software, time management, interpersonal relationships. [1-3,6,9]

    Check with your Regional Scientific Services Division for availability of training videos on pertinent topics.

    Private seminar companies offer a variety of seminars on office administration and interpersonal relations. Check their web pages for seminars, locations and dates.

    Local technical colleges and/or schools may offer classes related to this instructional component.
