In the near future the Air National Guard Band of the Central States will be performing a concert in your area. It is our goal to provide this service to as many people as possible so they may enjoy this cultural event. Below you will find information designed to assist the sponsor and also provide a handy checklist for the event.

As a sponsor of this outstanding music event, we rely on you to inform the citizens in your area of the concert and will provide you with Public Relations materials for this cause.

No single PR formula fits every community or situation. You know your community and can adapt any suggestions offered that may fit your community best. With this in mind, we ask that you communicate the approach you will use to advertise for this upcoming event.

Our staff addresses Communications (Public Relations/Advertising) and Operations (logistics of the venue). The group is traditional National Guard meaning we drill one weekend per month and two weeks during the year. We will offer as much assistance as possible and will also seek advice and suggestions from you in making this a stellar performance.

tabGeneral Requirements for Concert Band Performances 
A concert by the 35 member Air National Guard Band of the Central States is an event that attracts a cross section of your community. Our concerts are very family oriented that express a wide variety of musical tastes. This event should take place in the best possible location to provide the maximum results for the community. The critical factors are:

1. Adequate stage size: This information is described in detail later.
2. Good Acoustics.
3. Adequate venue size: This criteria is relative to the community size. It is in the sponsor's best interest to provide a good sized, quality venue site.

Most concerts are approximately 2 hours in length, including a 15 minutes intermission. It is the Air Force policy that concerts are presented as a public service to the community and be free of charge to the general public. All items associated with the event must be available to all without regard to race, color, creed or national origin. Concerts may not be used to raise funds for any purpose or to endorse any efforts.

Technical Stage and Miscellaneous Requirements
tabPublicity Schedule 
6-8 weeks prior to concert:
This is the typical leadtime needed for magazines, Sunday supplements, etc. If you have a local magazine, please send them information on the concert for their calendar of coming events.

3 weeks prior to concert:
We will provide 11x17 full color posters to be posted in key area locations. Shopping or grocery stores, restaurants, music stores and high traffic locations seem to work best. Local radio and TV stations can also be notified of the concert at this time. Some areas have a town marquee to provide community information.

1 week prior to concert:
Follow up on all media sources to insure they have received the information. Stress that this is a free admission, public event that will appeal to all age groups.

Day of concert:
Meet with the group and enjoy the concert!
tabCivilian Sponsors and Recruiters 
Civilian sponsors and recruiters may request a band performance by directly contacting the band that serves their geographic area or by contacting the public affairs office at the nearest Air Force base. Either the band or the public affairs office will provide a DD Form 2536, Request for Armed Forces Participation in Public Events (Non-Aviation), and assist in its completion. (Or click on the link to access). Send the form to the Operations Director of the band that serves your geographic area. Civilian sponsors should submit their request to the band at least 90 days before the event, but don't wait until the 90 days window to contact the band. Bands begin planning their tours and performances as much as one year in advance. (Refer to the bands contact list for address/phone).
tabMilitary Sponsors 
In support of official military events, military sponsors may request a band by directly contacting the band that serves their geographic area or by contacting the public affairs office at the nearest Air Force base. Military sponsors must submit an official memorandum letter to the band Operations Director, who coordinates with the public affairs office on the base where the band is assigned. To protect the integrity of prior commitments and maintain an efficient use of limited resources, military sponsors should submit their requests at least 60 days in advance.
