SUBJECT:
Medical Affairs Branch takes over management
of all immunization data
ISSUE
As of 1-April-2010, the Medical
Affairs Branch (MAB) is now the sole source and principal Point of
Contact for all officer immunization data. Future readiness assessments
beginning with the next quarterly assessment on 30-June-2010, will be
based on immunization data supplied by MAB. Self-reported data provided
through the OFRD website will no longer be utilized for readiness
assessment calculations.
BACKGROUND
Prior to this date, officers were
required to self-report their immunizations directly to OFRD through the
OFRD website. Additionally, officers were required to fax their
immunization data to MAB. Beginning 1-April-2010 , officers will only be
required to update their immunization data by sending their
documentation to MAB and that data will be the sole source of
immunization data.
MAB immunization data will be
available for review by officers in the Direct Access (DA) system not
later than 1-June-2010. At that time in accordance with standing
procedures, OFRD will provide weekly readiness compliance deficiency
notices to officers via email. Reported deficiencies in an officer's
immunization status will be based solely on MAB immunization data.
ACTION TO BE TAKEN
All officers should immediately verify
the immunizations that MAB currently has on file:
1.
Login to CCMIS (https://dcp.psc.gov/cclogin/ccmislogin.aspx)
2.
Click the button “Click
for Immunization Details”
3.
Review your
immunizations data which you previously provided MAB and look for any
missing or incomplete immunizations with particular emphasis on
immunizations that are required for basic readiness compliance and also
any immunizations that were self-reported but NOT documented with
MAB.
If you are missing any documentation, you must provide documentation of
updated immunizations and/or titers to MAB via fax to 301-594-3299 or
800-733-1303.
In order to assist officers with this
process, OFRD and MAB will provide officers a report of discrepancies
between their MAB documented immunization data and their previously
self-reported immunization data. This report will be provided to
officers via email prior to 1-June-2010. Additional updates will be
provided periodically over the coming months.
DEADLINE
Officers must ensure that MAB has
complete updated documentation of immunizations
prior to 30-June-2010
in order to be included in the
30-June-2010 readiness compliance assessment. Updated immunization
records should be faxed to 301-594-3299 or 800-733-1303 for entry by
MAB.

In October, the latest release of the Direct Access
system (release 1.b) went into production. This release incorporates
Basic Readiness into the Direct Access system. Officers will now be
able to view their Basic Readiness status in Direct Access and begin
using Direct Access to enter Basic Readiness information.
The Direct Access readiness information page will
also allow officers to view their projected Basic Readiness Status for
the upcoming quarterly review. So officers will be able to immediately
view their projected Basic Readiness Status for the December 31
compliance review. This projected status will be continuously updated
to reflect changes in the officers’ status.
Officers will also be able to view their Readiness
Team membership and roster information, a summary of their completed
courses used to meet Readiness training requirements, and immunizations
status information as needed to maintain Basic Readiness. A complete set
of Readiness directions are provided in the Self Service Procedure Guide
located at
Direct Access User Guide Website (http://www.uscg.mil/ppc/phs/PHSSelfServiceProcedureGuide.pdf).
