In-Processing

Welcome to the Heidelberg and Mannheim communities.  The USAG Baden-Wuerttemberg Central Processing Facility (CPF) and the In-Processing Training Center (ITC) are responsible for in & out processing all permanent party Soldiers to and from the Heidelberg and Mannheim communities.  The CPF staff is here to assist you in making a smooth in-processing transition. 

ARRIVAL DAY (A DAY): The Sponsorship Bus (S-Bus) from Frankfurt Gateway Reception Center (FGRC) will transport all personnel assigned to Heidelberg and Mannheim units to the Patrick Henry Village (PHV) Guest House, building 4527, in Heidelberg.  The GPS/street address is Grasweg, 69124 Heidelberg.  The phone number is 388-9387 and the commercial prefix is +49-6221-338-xxxx.  You will be met by a representative from the CPF and by your sponsor.  You will receive an orientation briefing, which will include the in-processing requirements.  All Soldiers E-6 and below on unaccompanied or deferred travel are not authorized to reside in the guesthouse if BEQ or barracks space is available.  Soldiers in the grade of E-7 and above and Soldiers with accompanying family members should arrange for lodging before arriving.  If lodging arrangements were not made prior to arriving, then your sponsor will assist you in arranging for lodging. 

1st DUTY DAY AFTER ARRIVAL (A+1): In accordance with Army in Europe Regulation 612-1, you are required to in-process your unit on the first duty day after arrival.  IMPORTANT: In addition to the unit A+1 in-processing requirements, you must complete the following in order to successfully accomplish community in-processing:

___Obtain AKO e-mail account/address (if not already done).
___In-process the Community Mail Room to obtain mailing address.  Have APO address available for community in-processing.
___Make copies of all PCS orders with amendments (5 copies).
___Make copies of all Finance and Travel Receipts (4 copies).
___POV shipping document (4 copies).                                                                            
___Deers/ID Cards (Mannheim Soldiers may visit Bldg, 255, Room 115, Sullivan Barracks/Mannheim).
___Obtain Duty Memorandum (3 copies). You will need to see your Unit S-1 for this document. The Duty Memorandum must contain the following information: Name, Grade, SSN, Unit, UIC, Effective Date, and Duty Position/Title/Para/Line.
___DA 31 (Leave Form) must be signed IN and OUT on an original leave form.  Do not allow your unit to take the original, as it is necessary to in-process through Finance.

**Please make sure Sections 14A, B, and C & 16A, B, and C are complete.**

2nd DUTY DAY AFTER ARRIVAL (A+2): There is a mandatory community in-processing briefing that will begin at 0830 hours on the 2nd duty day after your arrival into the community.  You are required by USAREUR policies and regulations to report to the USAG Baden-Wuerttemberg CPF in Heidelberg for the in-processing briefing.  Failure to report at your scheduled date and time will delay your in-processing and could result in UCMJ action.  All Soldiers must have a sponsor present.  All Soldiers must be in their duty uniform while in-processing. Please ensure that you have the following documents with you prior to reporting to the CPF for A+2 in-processing.

___All PCS orders with amendments (5 copies).
___Duty Memorandum (3 copies). 
___DA Form 31/Leave Form (Original + 1 copy).
___Finance and Travel Receipts (Original + 4 copies)
___POV shipping document (Original + 4 copies).
___Dental and medical records.
___Military Personnel File (for Soldiers assigned to non-PSDR units).  PSDR unit Soldiers turn-in their MPF to their S1 on A Day or A+1.
___DA Form 5888 (Family Member Deployment Screening Sheet) if family members are on deferred travel.

NOTE:  The A+2 briefing schedule and times are subject to change.
Following the completion of A+2 community in-processing, all in-processing Soldiers must attend the Community Briefing and most Soldiers will then complete mandatory in-processing training classes (ITC) and German Headstart before being released to their units for duty.  German Headstart is required for all Soldiers arriving to Germany for the first time and for those returning to Germany after a 3-year absence.  The in-processing training and Headstart schedules are fixed and each Soldier's individual schedule will be determined based on their arrival date into the community and other requirements.
