Procedures for
Requesting Military
Support &Transportation Authorizations

1) Contact the Liaison Office Before Initiating Contact with Military Personnel: Although at times CAP personnel may learn of pre-existing flights on military aircraft, be offered flights in military aircraft, or offered any assistance from the military, it is essential that the first action taken is a call to the Liaison Office.

By following this first rule, miscommunication, overextension of pre-committed military resources, and general unknown problems can be easily avoided.


2) Assemble a Complete List of all CAP Personnel who Wish to Participate:

This list should ideally be placed on a CAPF 7, but must include the member's full name, current rank, and social security number (the new CAP Serial Number is not acceptable for MSA and TA orders). If there are cadets who will be on a flight, the parental release form must also be turned in to the Liaison Office at least two weeks in advance of the activity. Please also keep in mind that it is always possible to take names off of a list after it has been approved for the activity; it is IMPOSSIBLE to place names onto the list once it has been submitted. At no time will the Liaison Office attempt to add names once the list has been submitted for approval!

3) Submit the Completed List of Participating CAP Personnel to the Liaison Office at least 30 Days in Advance:

Although the 30 day rule is the absolute minimum, the list should be submitted before then to allow for the necessary routing of the request to take place and for approval to be returned to the Liaison Office. Requests submitted in less than 30 days form the scheduled activity will most likely be denied, particularly when requesting seats on existing military flights.

4) Keep the Liaison Office Informed of any Changes:

If participants have to drop out, or the activity needs to be canceled or postponed, the Liaison Office must be notified immediately. This will allow for the LO to inform the necessary military offices of the changes, as well as keep the LO up to date on the current circumstances of the CAP personnel and/or the activity.

5) Be Prepared for Possible Changes:

The potential for changes in the unit mission can affect the plan originally set in place- please keep all participants aware that plans may have to change, or the may be canceled. If possible, alternate plans should be considered in order to minimize the effect of altered or canceled flights and/or activities.
