At VAMC Wilkes-Barre, we have established a number of procedures to assist you in getting an appointment without a
long delay. Basically, there are two types of appointments:
1. Same Day Needs Appointment - follow the process stated below if you:
- Require an appointment within 48 hours
- Need Medication Refill
- Other: Non-Medical Emergency (immediate issue)
Process:
- Call our toll free number (1-877-928-2621)
- You will get the operator message, At the prompt, "If you know your party's extension, please dial it now"... enter your primary care team 4-digit extension.
- If you do not know you primary care team extension, press (0) and the operator will assist you in connecting you with your primary care team. (Remember to write the extension down so you have it for the next time - or pick up a team card from the clerk the next time you see your physician.)
2. Open Access Appointment - follow the process stated below if you:
- Receive a reminder letter 30 days before your next visit
- Receive a 2nd reminder letter 14 days before your next visit
- Just want to check on your upcoming appointments
Process:
- Call our toll free number (1-877-928-2621)
- You will get the operator message, At the 2nd prompt, ("if you are calling to schedule an appointment press 2")
- Press #2
- All calls from this prompt will be directed to our Central Scheduling Unit (CSU). (Calls are answered in order they are received.)
- You will then be personally assisted with scheduling your Open Access Appointment(s).
Cancel or Change Your Appointment
If you cannot keep an existing appointment, please contact the CSU as soon as you are aware that you cannot make your appointment at (1-877-928-2621 - Press #2). You will then be offered the opportunity to reschedule your appointment. This will allow us to reschedule one of your fellow veterans.
Note: If you cancel a specialty/consult clinic appointment more than one time, or do not keep a scheduled specialty appointment, it will be necessary for you to contact your health care provider for another consult/referral to that clinic.
