Invoice Processing Platform (IPP) - Setting Preferences

Setting preferences allow users to manage their display User Information, Time Zone Setting, Display Preferences, Notification Schedule, and Clipboard Options.

Sign into IPP at www.ipp.gov and select Collector (Supplier) module. Enter your User ID and Password to access the IPP application. The IPP Collector home page will display.

  • From the Home Page select the Preferences link.

User Information

  • On the Preferences screen select the User Information link under Your Information.

  • The User Information allows a user to update their name, email address and phone number associated with their account in the IPP Collector. First Name, Last Name, and Email address are required fields.
    • The email address entered on this screen is used for any notification schedules you assign to your user ID. Name fields are for display to other users within your organization using the IPP Collector.
    • The User Information form is for the session user information only. If you are the IPP Administrator for your organization, or if your IPP Administrator has granted administrative privileges to you, you may update information for other users via the Admin tab.
    • The maximum lengths for these fields are:
      • First Name: N/A
      • Middle Initial: 1
      • Last Name: N/A
      • Email Address: N/A
      • Phone Number: 15

Time Zone Settings

  • On the Preferences screen choose the Time Zone Settings link under Your Information.

  • Update information to desired time zone.

Display Preferences

  • On the Preferences screen select the Display Preferences link under Additional Options.

Use the Display Preferences to maintain display lists, such as the Paid Invoices or Open Purchase Orders.

Display Preferences only apply to the user that sets them. Each user is responsible for updating and maintaining their display preferences.

  • Multi-Column Sorting*
    • Check this box to sort a list by multiple columns; for example, by date and amount.

  • Select report records per page*
    • Select the number of items you want to view on each page by using the drop down list.

  • Display data for*
    • Select the number of days you want to view on each page by using the drop down list.

Notification Schedule

  • On the Preferences screen select the Notification Schedule link under Additional Options.

  • Select Create Notification to set up a new notification.

  • Enter the specific information for the notification you are creating.

Notification Definitions

Term Definition
Payment Notification The IPP Collector sends this notification when new payment settlement records are uploaded from Treasury or Agency systems.
Payment Return Notification The IPP Collector sends this notification when a payment is returned by the supplier bank and the return report is uploaded to the IPP.
E-File Upload Notification (2008) The IPP Collector sends this notification at the successful completion of Invoice eFile upload.
ERP Approved Notification The IPP Collector sends this notification when an agency submits an invoice status update file which sets invoice status values to "approved". This IPP invoice status reflects the invoice status in the agency Enterprise Resource Planning (ERP) system.
Note: This only applies to electronic invoices your organization has submitted via the IPP Collector.
Invoice Pay Me Now Notification The IPP Collector sends this notification when an invoice qualifies for an early payment program set up by the associated agency.
Invoice Reject Notification The IPP Collector sends this notification when an agency updates an invoice status to "rejected". This requires the agency to set the status in their ERP and then upload the status to the IPP.
Note: This only applies to electronic invoices your organization has submitted via the IPP Collector.
Invoice Exception Notification The IPP Collector sends this notification when an invoice is set in "Exception" status.
Note: This only applies to electronic invoices your organization has submitted via IPP Collector.
PO Change Order Notification The IPP Collector sends this notification when the associated agency sends a PO Update file to the IPP.
Note: This only applies to electronic purchase orders the agency sends to the IPP.

Clipboard Options

  • On the Preferences screen select "Clipboard Options" link under Additional Options.

  • The IPP Collector provides the option to save data that is not frequently used. The data is stored on a clipboard where the user may assign rules and names. IPP provides two clipboards for the IPP Collector:
    • Most recently used items are stored in clipboards.
    • Employee sets up clipboard for a particular task.
    • Maximum number of clipboard recently used items:
      • Type an appropriate number to accommodate the clipboard items most recently used that you want to save.
    • Maximum number of clipboard user saved items:
      • Type an appropriate number to accommodate the entire clipboard items set up by specific users for specific tasks that you want to save.
