Helpful Hints for Sending Documents

The BSC Information Services area offers some helpful hints to ensure successful transmission of documents when sending invoices and travel vouchers to the BSC (invoices@untsystem.edu and travelvouchers@untsystem.edu):

  • The absolute best type of file type to send is the PDF format. However the system gets a little confused if there is a blank page at the end of the document, so remember to delete the blank page at the end.
  • The email agent is set up to handle Excel documents, but it cannot read and convert multi-worksheet pages. This process was set up to handle invoices, which are typically a single or multiple page document, not an Excel workbook. As noted above, the absolute best file type is a PDF to be assured of success.
  • Please do not send attachments within an attachment. The mail agent cannot convert the second attachment. For example, when you scan a document at your multifunctional device copier and then attach that message to another message with approval to pay, you have just sent an attachment within an attachment. Rather, take the email from the copier, add your approval to pay, and forward that message to invoices@untsystem.edu.
  • Want to take it a step further to help expedite processing? Put the Vendor name and invoice number in the subject line of the email. Our process will capture that information as it comes into workflow, helping us locate the document faster in case there are any questions before the voucher is created in EIS.

For questions about these hints, or about BSC Information Services, call 940-369-5500 or email to BSC_IS_Team@untsystem.edu.
