JPAS Question of the Week: How do I debrief someone?

Summary of Scenario:  Security Managers should debrief a subject's access if the subject's access is no longer needed and/or prior to that subject leaving their organization. The following steps will enable a user to debrief a subject's access and out process the subject (or remove the relationship) from their Security Management Office (SMO).

Steps to complete:

  1. Click on the 'Select Person' link on the left hand side menu.
  2. Type the SSN or Department of Defense Identification Number (DoD ID) of the subject.  Click on the 'Display Person Summary' option then click the 'Display' button at the bottom of the screen.
  3. The 'Person Summary' screen will appear next. Scroll to the middle of the page and click on the 'In/Out Process' link to establish a relationship with the subject if you do not already have one.
  4. You now are on the 'View/Modify In/Out' screen. On this screen enter in an 'In Date' (enter in the current date) and select the 'Servicing' option then click 'Save' at the bottom of the page.
  5. Once you see your SMO information saved in the 'View/Modify Active Relationship(s)' section then click 'Cancel' at the bottom of the page to be returned to the 'Person Summary' screen.  On this screen you should see the 'Debrief Non-SCI' link or the 'Debrief SCI' link next to the access in the 'Accesses' section in the middle of the page.
  6. Click on the applicable 'Debrief' link next to the correct category you want to debrief the access from.   Once you are on the 'Debrief Access' screen then enter in the date the subject was debriefed in the 'Debrief Date' field. 
  7. Next select a 'Reason for Debrief'.  Afterward click 'Save' at the bottom of the screen. Once the page loads and you no longer see the 'Debrief Date' and 'Reason for Debrief' fields then click 'Cancel' to exit out of the screen and return to the 'Person Summary' screen. Now the subject has been debriefed.
  8. If the subject is leaving your SMO then you should then remove the subject's relationship from your SMO.  To do this you now have to enter in an 'Out Date' for the subject to disclaim your relationship with them.  On the 'Person Summary' screen scroll to the middle of the page and click on the 'In/Out Process' link to establish a relationship with the subject.
  9. You now are on the 'View/Modify In/Out' screen. On this screen enter in an 'Out Date' (enter in the current date) then click 'Save' at the bottom of the page.
  10. Then click 'Cancel' at the bottom of the page to be returned to the 'Person Summary' screen. Now the subject has been properly debriefed and separated from your SMO.
