Early Retiree List (ERL) Preparation, Submission, and Response File Review

User Tips

  • Make sure to enable macros.

  • When saving the template, do not change the file type. The template will save as both an Excel file and a .CSV file.

  • If data is pasted into the template, the cell formatting and data validation within each cell will be lost. If the data is not in the correct format during upload, the SWS will display an error reason.

  • Early Retiree List: File Error Messages (PDF 20 KB) – This document lists the error messages the ERRP SWS may display if an error occurs during ERL upload. Updated 02/26/11

  • Early Retiree List Response File: Reason Codes (PDF 66 KB) – This document explains the reason codes the ERRP Center may return in the ERL Response File if there is a full or partial denial of an individual’s eligibility as an early retiree or early retiree’s spouse, surviving spouse, or dependent.     The Training Examples demonstrate how to:

    • Identify Professional, Institutional, and Prescription claim record data in the required format as indicated in the Claim List layout. (Illustration 1)

    • Report Costs Paid by Early Retiree (Illustration 2)

    • Report claim data for applications with a transition plan year, i.e., plan year beginning prior to 6/1/2010, with early retiree claim data exceeding the cost threshold prior to 6/1/2010 with cost adjustments. (Illustration 3)

    • Report claim data for an early retiree meeting the limit reduction with cost adjustments. (Illustration 4)

    • Report claim data for applications with a transition plan year, i.e., plan year beginning prior to 6/1/2010, with early retiree claim data exceeding the cost threshold prior to 6/1/2010, meeting the cost limit with cost adjustments. (Illustration 5)

    • Accurately report bundled claims in the Claim List. (Illustration 6)

    • Compile all Claim List record types and all early retiree claim records into a single Claim List and correlate to the ERRP SWS Summary Cost Data. (Illustration Claim List Headers and Formatting)
