Subject: CDC involvement

Q:When/how will you need CDC involvement in VTrckS?

A: In order to prepare for VTrckS, CDC will need to commit time and resources in a variety of ways.  The transition to VTrckS will be supported by the use of modules, similar to the methodology used with the transition to centralized distribution, through group interaction and/or a series of conference calls.

Since CDC end users and level of participation in VTrckS is varied, each area of CDC will begin involvement with VTrckS at different times through the project lifecycle. The modules will be introduced to each area at the optimum time to efficiently use resource time and availability.  CDC will be requested to participate in grantee role definition and mapping, testing of the system, data cleanup and conversion, and training.

Subject: Grantee involvement

Q: When/how will you need grantee involvement in VTrckS both during the implementation and after Go-Live?

A: In order to prepare for VTrckS, grantees will need to commit time and resources in a variety of ways.  The transition to VTrckS will be supported by the use of modules, similar to the methodology used with the transition to centralized distribution, through group interaction and/or a series of conference calls.

Grantees will be requested to participate in kick off and readiness activities (e.g., change readiness survey, stakeholder interviews), communications planning (e.g., stakeholder identification and local communication plans), and process overview working sessions to document gaps and workarounds.  In addition, grantees will participate in data cleanup and conversion and provider readiness activities (e.g., develop transition plans, provider training, and enrollment of providers in VTrckS). Lastly, grantees will be called upon to participate in training, and Pre-Go-Live transition activities.  Introduction to the modules will be determined based upon each grantees’ Go-Live date.

Subject: Provider involvement

Q:When/how will you need provider involvement in VTrckS?

A: In order to prepare for VTrckS, health care providers will need to commit time and resources in a variety of ways.  Providers will be asked to participate in identity proofing and training conducted by the provider’s grantee.

Subject: Use of VACMAN

Q: Will VACMAN be used at the same time as VTrckS?

A: Yes, however as grantees transition to VTrckS, they will stop using VACMAN to enter/transmit orders to CDC.

Subject: Sunset of VOFA

Q:Will VOFA go away once VTrckS launches?

A: Yes, as individual grantees transition onto VTrckS, VOFA will be incorporated into VTrckS.
