2009 VA IRB Chair Meeting

The VA Office of Research and Development is presenting a meeting for VA IRB Chairs. Each VA facility with a Federalwide Assurance (FWA) will be allowed one representative. The representative from VA facilities with their own IRBs should be the IRB Chair. The representative from VA facilities that use their affiliates' IRBs should be one of the VA representatives to the affiliate IRB. If a VA IRB Chair is unable to attend, a facility may send a voting member from the IRB.

This meeting is limited to 99 participants. Facilities with more than one IRB will have highest priority for sending more than one representative if space allows.

NOTE: The meeting will begin at 8 a.m. October 7; participants are expected to stay until the meeting ends at noon on October 8, 2009.

Hotel:

Please make your hotel reservation at the Marriott Bethesda North Hotel & Conference Center by calling 1-800-859-8003.

We have a block of rooms with the at a group rate of $199.00. In addition, you will be charged approximately $26.00 per night in taxes. When making your reservations, ask to be added to the block of rooms with the "Department of Veterans Affairs."

The per diem rate for meals in is $64.00 for a whole day of travel, and $48.00 for the first and last day of travel.

Hotel check in time is 4:00 pm and check out time is 12:00 pm. Please note that you must cancel your reservation by 3:00 pm hotel time day of arrival or your credit card will be billed and you will be responsible for those charges.

It is important that you remember to display your VA badge when registering at the hotel, so that the discount rate is applied. ORD will not reimburse for an amount greater than $199.00 + 13% tax per night.

Arranging Flights:

Three airports are convenient for this meeting:

  1. Ronald Reagan Washington National - DCA (20 miles)
  2. Washington, DC/Dulles - IAD (25 miles)
  3. Baltimore/Washington International Thurgood Marshall Airport - BWI (35 miles).

Your flight must be booked through your local VA travel office. Also, since local VAs may have varying policies on travel reimbursement, you will need to work with your local VA travel office to make sure your estimated expenses are correct.

Reimbursement from ORD:

Please have your travel estimate submitted online no later than September 1st. You must submit your travel at the link so that you will be reimbursed by ORD.

This online travel estimate is in addition to FedTraveler or other processes your local travel office uses. Keep in mind that this is only an ESTIMATE of your expenses. After you have traveled, submit your travel paperwork to your local travel office as you normally would. Your local facility will let ORD know the exact reimbursement amount.

Changes to an estimate? No problem, you may resubmit a new estimate as often as you'd like. If you’re resubmitting within 10 working days before the meeting, please send me an email alerting me to make changes to your TWX.

Here is some information your travel office might like: The TWX will be emailed to you no later than September 29, 2009 (We do not send the TWX earlier, and we do not send out meeting agendas). After you have traveled, you will be reimbursed from ORD, Program 821 36 9/10 0161A1. The contact person for reimbursement is Maureen.Carroll@va.gov.

Ground Transportation:

You may use a taxi or the metro to commute between the airport and the hotel.

If taking a taxi, it is a good idea to print the directions from the airport to the hotel in case if the driver doesn’t know how to get to the hotel.

The closest metro stop is White Flint on the red line.

Meals:

We will be providing a light continental breakfast at 7:00 am each morning. If you have a hearty appetite or a special diet, we suggest you eat before you arrive.

Lunch and dinner will be on your own, with restaurants on site as well as within a short walk.

Registration will begin Tuesday morning at 7:00 am. Dress is business casual. To find the White Flint Amphitheater, take a left at the top of the escalators, and the room is on the right.
