Submitting Electronic Documents Saves Time and Improves Accessibility.
The DEC encourages the submission of USAID documents in electronic format.
Speed: electronic files can be emailed directly to the DEC, cutting processing time.
Efficiency: electronic documents do not have to go through time-consuming and expensive scanning to be converted to electronic form (as is the case with paper documents).
Improved functionality: in most cases the full text of electronic documents can be made available to the Agency through the Development Experience System and M/CIO/KM's intranet web site. Paper copy documents are archived as digital images which can be retrieved only by ordering the document from the DEC.
Microsoft Word 2003 (i.e., MS Word) is the Agency standard and is preferred.
Other versions of Word are also acceptable, as are WordPerfect, Adobe Acrobat PDF, or ASCII text files.
Media
3.5" diskettes or Zip cartridges are also acceptable. If sending multiple disks, make sure disks are labled properly (e.g., disk 1 of 5, etc.)
File Structure
Electronic documents should "mirror" their
paper counterparts.
Table of contents, bibliographies, notes, and annexes should all be in their appropriate place in the file.
If at all possible, send only one fully assembled file which comprises the full document.
Remember, only final versions of documents will be entered into the database.
