AFTA PRIVACY POLICY (Adopted Nov. 12, 2003) This statement sets out the privacy policies of the Association for Temperate Agroforestry (AFTA) and explains what we do what personal information that we collect or is supplied to us through our website, postal correspondence or in person. AFTA is committed to protecting the privacy of its members and those who visit our website or participate in our educational programs. Regarding all the personal information described below, AFTA will not give, sell, rent or exchange your information with anyone else without your prior consent. Except as specified below, your personal information is only available to officers and designated volunteers of AFTA. We will take reasonable precautions to safeguard the security and integrity of any personal information we retain in our records. WEBSITE PRIVACY 1) Visitor logging. We may automatically collect the domain name and geographic location, but not the individual email address, of visitors to our website. We may collect aggregate usage information on the number of individuals visiting pages and the length of viewing time. Such information is used by AFTA to measure visitor traffic, to diagnose and correct errors and to improve the website content. We do not connect this information to your name or email address. 2) Cookies. We do not send cookies unless you decide to click on “Remember Me” or a similar function. 3) Newsletters, listserves and forums. You have the opportunity to subscribe to electronic newsletters and listserves related to agroforestry which AFTA distributes via email and its website. You can opt-in to subscribe by submitting your email address on a form on the website, sending an email subscription request, mailing a sign-up form or submitting a form in person (e.g. at a conference). AFTA members are automatically subscribed to any electronic newsletters that we publish. When you subscribe, we send an email notice confirming your subscription.
We use your email address to send you the newsletter on a regular basis and/or to include you in the discussions on the listserve. Please note that when you send an email to the listserve or forum, your email address and name will be shared with other participants on that listserve or forum. You may remove your name from our email list at any time by sending a request to afta[at]aftaweb.org (replacing [at] with @ in your email address), by following the “unsubscribe” directions at the bottom of each newsletter, or as described in the confirmation email that was sent to you when you first subscribed. 4) Contact and feedback forms. If you decide to respond to contact, feedback or survey forms on the website, AFTA will receive any personal information that you voluntarily supply. We will use your email, postal address, phone or fax to contact you if a personal response is requested or necessary. on surveys, we compile only aggregate information and do not match this with individual identities. Such information is used to measure the general response of the survey participants to issues and questions related to agroforestry. MEMBERS 1) Application forms. When individuals apply to become members of AFTA, we ask you to supply some personal information such as your name, email address, postal address, telephone and fax numbers, and information about your agroforestry interests. We collect similar information from organizations who subscribe to our publications as non-members. We use this information to send you AFTA communications and publications on a regular basis via email and postal mail. We will not contact you by phone or fax unless you have requested us to do so, we cannot contact you by another means or it is a matter of urgency. Members will receive an acknowledgment of their membership after joining or renewing. 2) Dues Payments. You can pay annual membership dues by check, money order or credit card. We cash checks and money orders promptly, and only retain credit card information until the next regularly scheduled batch cycle when we send it to PayPal, our payment service provider, for processing. Thereafter we only record the amount and date of your payment, not the credit card number or expiration date. Please see below regarding the privacy of your credit card information with PayPal. 3) Member Directory. Unless they tell us otherwise, all members will be included in the directory of current AFTA members. The purpose is to facilitate communications among members who share common interests related to agroforestry. Information listed in the members directory typically includes your name, affiliation, email address, postal address, phone number, agroforestry interests and how long you have been a member. No financial information is included.
Information you decide to include in your members directory listing will be available to AFTA officers, designated volunteers and other current AFTA members. When you apply or renew your membership, you will have the choice to opt-out of the inclusion of some or all of your personal information in the members directory, for example your telephone number.
The members directory is published online at the website and in print. Only current members, and not the general public, can access the members directory online, using you’re their own username and password assigned by AFTA. only members can request a printed copy of the directory. The information in the members directory is not to be reproduced or used for commercial purposes by anyone, including members. 4) Updating your information. Members are encouraged to update and correct their personal information in the members directory as necessary. You may use a password-protected form on the website, or contact AFTA in writing or by fax, to update your personal information. See below for complete contact information. DUES PAYMENTS, SHOPPING AND DONATIONS When you pay membership dues, make a donation or purchase books or other items from AFTA, you will be asked to supply us the information necessary to complete the payment transaction. This includes your name, postal and email addresses, and phone number.
In the case of credit card transactions, you will be asked to supply the credit card number, expiration date and other information necessary for PayPal, our payment services provider, to process your payment on their secure server. AFTA retains payment records that include your name, date, amount, method of payment and what was purchased. We do not learn or retain your credit card details supplied to PayPal. AFTA will send you an acknowledgment and/or receipt for your payment either by email or postal mail.
Our payment services provider PayPal is also committed to maintaining the security and privacy of your personal information. Please consult their privacy policy posted at www.paypal.com.
