Adding Air Shed and Air Notes to the Website

This document is intended for Therese Martinez-Loner and Steve Martinez.

Each edition of the Air Notes and Air Shed is unique, and so is the folder that holds them!  

Here's how to upload new Air Shed newsletters and Air Notes posters to your website:

1. On your computer, make sure that the filename of your PDF document follows these guidelines:

  • No capital letters
  • No spaces
  • No special characters (, _ & etc.)
  • Dashes (also known as hyphens: -) are okay

We recommend that you name your PDF something like february-2009.pdf

2. Log in to Plone. If you don't remember how, take a look at the Plone Cheat Sheet.

3. Navigate to either the Air Shed or Air Notes folder:

4. In the green bar, look for the Add to folder dropdown menu. Select File.

5. The Edit File screen appears. Fill it out as follows:

    • Title: This is the text that will appear in the navigation. Type the month, year, and title of your newsletter. This is the "April 2009 - Happy Earth Day" that you see in the screenshot above.
    • Description: This is the summary text that will appear under the title of your newsletter. In the April 2009 example, this is the "So much of what we do individually and as a community..." text that you see in the screenshot above.
    • File: Click on Browse. Locate the renamed PDF on your computer and click OK. You are returned to the Edit File screen.
    • Related Items: Ignore this area. It is a feature of Plone that we are not yet using.

Click Save.

6. You now see what citizens will see when they click on the title of your newsletter. Click on the Properties tab in the green bar. We're going to set the expiration date on this document so that it automatically disappears after 12 months.

7. Scroll down to Expiration Date and select the first day of the month one year from now. I selected 2010, May, and 1Ignore everything else on this page.

8. Click Save.

Your Air Notes and Air Shed folders are set up to immediately publish any PDFs that you upload to them.

You're done!
