Overview

The 2008 EPA Science Forum will emphasize the role technology plays in a maintaining a healthy and prosperous global environment. A key focus of the 2008 Forum will be the Environmental Technology Expo. The Expo will assemble an impressive display of cutting-edge, innovative technologies currently used in protecting our environment. Pollutant monitoring units; treatment systems for air, water and soil; environmental databases, decision support tools, and modeling systems; mobile monitoring and remediation units; and other environmental technologies will be displayed.

The EPA Science Forum organizing committee reviewed the technology abstract submissions and has finalized their selections. Notifications regarding technology display acceptance have been sent to the points of contact for each technology abstract. At this time the number of technologies has reached the meeting space capacity and the organizing committee can no longer accept additional displays.

Each technology accepted for display must be accompanied by a poster which:

Presents information in a logical, easy-to-view format conducive to walk-through traffic.
Provides a broad perspective of the environmental issue the technology addresses.
Minimizes jargon by using layman's terms. Some of the Forum attendees may not have science backgrounds.

The following poster template and poster design guidance is provided for technology displays that have been accepted by the Forum organizing committee for inclusion in the Forum's Environmental Technology Expo.

Technology Displays

Technology displays will be available for viewing on all three days of the Forum and during the Environmental Technology Expo Session on Tuesday, May 20, 2008 from 5:30 to 8:00 PM. All displays should have an exhibitor available to explain their technology on Tuesday, May 20, 2008 during the evening Expo Session.

Poster Template Usage

Poster templates have been designed for the EPA Science Forum to give Forum Posters the same look and feel. The Forum organizing committee strongly encourages all Expo exhibitors to prepare their posters within the provided poster templates.

There are three poster categories:

Databases, Models and Decision Support Tools
Pollutant Removal, Treatment and Remediation Technologies
Sampling, Analysis and Monitoring Technologies.

There is a different template for each category. Please use the template that corresponds to the category in which your technology display was accepted. The assigned category was provided in the technology display acceptance letter distributed to the exhibitors.

Instructions for Downloading and Using the Poster Templates

Internet Explorer: To download any of the files, right click on the desired link, select "Save Target As..." and save the file in a directory of your choice.

Netscape 4.x or higher: To download any of the files, left click on the desired link, select the "Save it to disk" radio button and save the file in a directory of your choice.

Guidance on preparing a poster presentation using the Microsoft PowerPoint template is available. This guidance is recommended reading for exhibitors who may not be familiar with using PowerPoint.

Poster Templates

The template files can be opened and edited using Microsoft PowerPoint.

The standard poster size for this year's Science Forum is 40" tall x 90" wide. Due to the page size limitations within Microsoft PowerPoint, the template has been designed at a size of 20" high by 45" wide. Exhibitors should print their posters at 200% to increase their posters to the maximum size permitted. Exhibitors may print a smaller poster within the template by adjusting their print settings (i.e., "zoom" percentage) accordingly.

Poster Content

The EPA Science Forum's Environmental Technology Expo will be a visual, interactive forum. Poster content may be determined by the exhibitor; however, non-EPA exhibitors are required to submit their poster to their designated EPA point of contact for review and approval. Be sure to clearly identify the central message.

Use images (charts, graphs, photos, etc.) to convey your information. Ensure that the images are high resolution and will print clearly.

For non-EPA exhibitors, it is acceptable to include logos for the authors' organizations.

Grantees should mention the funding source(s) for the research at the bottom of the poster (e.g. "This work was supported by NIEHS grant number P42ES03781.").

Layout

Information should be presented in a logical, easy-to-view format conducive to walk-through traffic. Typically our eyes scan left to right and top to bottom, with the top left hand corner being the most important location of the poster.

The design should be:

25% messaging - aim to attract those wandering through the Technology Expo with limited time, and
75% details of the science and technology

The poster is a visual representation of your topic:

Use color to inform, not detract
Use simple shapes
Use the "white space" to isolate and emphasize

Fonts

The poster should be readable from several feet away. Try to resist the temptation to squeeze in more information by making the text or illustrations smaller. Too much information can be overwhelming on a poster.

Poster titles should be in Arial Black font, no smaller than 60-point.
Subtitles should be in Arial Black, no smaller than 36-point.
Author(s) and affiliations (including office/lab/branch/etc.) should be in Arial, no smaller than 36-point font.
Body text should be no smaller than 24-point font.

Note that although these posters are provided as examples, the 2005 EPA Science Forum poster templates were a different size and layout than this year's poster template.

Clearance

Please ensure that the poster is cleared for viewing by the public through your organization's standard clearance process.

Poster Printing and Handouts

It is the responsibility of the exhibitor to have the poster printed. Posters should be printed on paper and should not be mounted on foam board.

Due to page size limitations in Microsoft PowerPoint, the poster template was designed at 20" high by 45" wide. To print your poster at the largest template size, select plotter as the printer and adjust your printer setting to print at 200%. The poster can also be printed at 180% or 190% if your printer cannot accommodate 40" wide paper.

A poster board will be provided as well as handout folders that attach to the poster board. The Forum organizing committee recommends that exhibitors bring handouts (mini posters) or materials for distribution to attendees. Exhibitors are responsible for making copies of any handouts to be distributed at their displays.

Submission of Electronic Poster Files

Once your poster is finalized, e-mail the Microsoft PowerPoint file to SAIC at tcs-events@saic.com. If the file is too large to e-mail, contact SAIC for instructions on uploading the file to their file transfer protocol (FTP) site. Posters are due to SAIC by Wednesday, May 7, 2008. SAIC will convert the posters to PDF format and they will then be posted on the EPA Science Forum Web site after the conclusion of the Forum.
