Moving Policy

Receiving Procedures for Items Purchased with the Impact Card for Landover, Forrestal and Germantown Loading Docks

The following procedures as set forth by the Moving and Warehousing Services Group, Office of Operations, Office of Administrative Services, are effective as of September 1, 2004. These procedures are implemented to create a safe work environment, reduction of damage and increased work efficiency.

Documentation that should be provided to the receiving office consists of the following:

  • Telephone quote sheet or equivalent /E-Commerce Notification
  • Name of vendor(s)
  • Description of item(s) order
  • Cost of item(s) purchased
  • Quantity of item(s) purchased
  • Appropriation data
  • Point of contact of ordering office and phone number
  • Promised delivery date

All deliveries to the above listed receiving docks that have no supporting documentation on file with the receiving office must be redirected to the Landover Maryland Warehouse. The consignee must provide the required documentation within one work day of notification of shipment's arrival.

Due to space constraints at our receiving area loading docks located at Forrestal and Germantown, no deliveries consisting of more than 25 boxes will be accepted at the Forrestal receiving dock and not more than 40 boxes at the Germantown receiving dock.

Larger orders will be redirected to the Landover Maryland Warehouse. In the event more than the specified number of boxes are delivered to these loading docks, the shipment will be redirected to the Landover, Maryland Warehouse and customer(s) will be notified by the receiving office personnel of the redirection. All customer ordering documentation will then be forwarded by the appropriate receiving office personnel to the Landover warehouse.

It is highly recommended that the ordering office clear the above instruction with the vendor(s) prior to the delivery. It is also highly recommended that shipments exceeding the above limits be consigned to the Landover, Warehouse by the buyer upon placing the order. Redirecting an oversize shipment to in alternate site will result in an additional deliveries / transportation charge, as well as unnecessary delays.
