Helpful Hints for a Successful Move

The following information has been compiled to assist you with your move. In taking time to read this information, we, in conjunction with your administrative officers, the moving coordinator from our team and the contract mover, hope to make your move a more pleasant experience. Our coordinators will be happy to answer your questions and to assist you in having a rapid, safe and productive move.

Personal Items: All personal items should be moved by each individual employee; examples of personal items include picture frames, briefcases, coffee pots, radios and knick knacks. The Office of Operations and the moving contractor cannot be held accountable for the loss of, or damage to, any of your personal items.

Office Furniture: All office furniture must be emptied and the contents packed in boxes. Do not leave anything in the desk or file cabinet drawers. Examples of office furniture include desks, file cabinets, credenzas, and open glass door book shelves. Make sure you label each box as it will help you when you unpack.

Office Equipment: Please contact your computer support and telephone service providers for their coordination and assistance. All office equipment must be disconnected and labeled. All electrical and connecting cords should be coiled and taped to the machine. Examples of office equipment include computers, typewriters, calculators, date/time stamps, and desk lamps.

Clean Your Office: The movers and move coordinators are here to help you move quickly and safely. All material in an office should be ready for the move. If you do not wish to take papers with you, they should be recycled or discarded, as appropriate. Please do not place papers or boxes on the convector units, as this impedes the flow of (warm or cold) air.

Packing: Packing boxes, and labels are available in the Supply Store (15 or less) or they will be delivered (over 15 boxes) for your move by calling 202-586-6508 or 301-903-9904. When packing your boxes, do not to overload them.

File Cabinets: When you are emptying your file cabinets, be sure to mark the boxes appropriately in order to easily identify them when it comes time for you to place them back in the file cabinets. Caution: When you are unloading your files make sure you unload the top drawers first, then the second, and so on. When placing the files back in the file cabinet be sure to load the bottom drawer first, then the next one above, and so on. By unloading and loading your files in this manner you will prevent the file cabinets from becoming top heavy and tipping over, avoiding serious injury.

File Cabinet Locks: After you have removed all of your files from the cabinet, place pressure sensitive tape on the lock. To prevent the accidental locking of file cabinets. Wrap the tape around the lock so that it can not be pushed in. There are many instances where a lock is accidentally pushed in and there is no key available, resulting in the costly expense of having duplicate keys made or even a new lock installed.

Liquid/Glass/Breakables: All liquids, glass bottles and breakable items should be removed from all office furniture and equipment, protected accordingly, and packed in boxes. Please mark boxes if there are breakables inside.

Labeling: All items in your office should be labeled/marked with the following information: employee name, routing code, room number, and building of new office location. A black felt tip pen should be used on the labels.

Types of Labels:
YELLOW Labels - Furniture and Office Equipment
WHITE Labels- Boxes.
Office equipment and furniture should be marked by utilizing the Yellow Labels. These labels should be completely filled out and attached with masking tape to each piece of furniture and office equipment. Each component of your computer should be labeled since the components maybe separated during the move.
Boxes used for files and miscellaneous items that are in your office should be marked by utilizing the self adhesive White Labels. These should be applied directly to the top of the box.

Note: Report any broken non-personal items immediately; do not wait. If furniture is damaged, report it as soon as possible.
