Subject: NERSC FY 2003 User Lists must be validated by 9:00 AM September 23, 2002

Dear NERSC PIs and Account Managers, The annual process to validate your project users and renew your repository user lists for FY 2003 will take place between September 6 and 23, 2002. All user lists must be validated by 9:00 AM Pacific Time on Monday, September 23, 2002. This validation process is required by DOE for all continuing projects and can be done by the PI or a designated PI Proxy or Project Manager. You may prefer to read this document on the web (where NIM screen dumps are available): http://hpcf.nersc.gov/accounts/nim/users_manual/userlistval.html Please note that you will be validating existing users for existing repositories. If you had a PVP repository in FY 2002 and are requesting an MPP repository for the first time in FY 2003 you will be renewing your users for HPSS storage only. To add users to a new FY 2003 repository, select "Add/Delete User" from the Actions pull-down list in NIM's Main Menu. This year the user list validation process has been split into two components: 1. State which users should have access to which resources in FY 2003. FY 2003 resources are MPP, HPSS Storage, and the PDSF Cluster. 2. Review, correct and certify contact information, citizenship, and project role for your active users. How to do your User List validations 1. Log into NIM (nim.nersc.gov). If you have forgotten your NIM password, please contact the Account Support Office at 1-800-66-NERSC menu option 2 or 1-510-486-8612. 2. Select "My User List Validations" from the "My Stuff" pull-down list in NIM's Main Menu. You will then see your ERCAP Request List displayed in the lower frame. 3. For each of your continuing FY 2003 projects, click the "Validate User List" link located at the right edge of the ERCAP Request List frame (you may have to scroll over to the right to see the links). You will then see a "User Status for next FY" listing in the lower frame. 4. Set the FY03 Status (choose one of "Active next FY" or "Delete next FY" from the pull-down list) for each (user, resource) pair. The FY03 resources are MPP, HPSS, and PDSF. When you are done click the Save All Rows button at the bottom of the "User Status for next FY" frame to save your settings in the NIM database. Notes: o You should not renew users who have been inactive for more than six months. For security reasons only active users should keep their accounts on Seaborg and PDSF. o Only users who are currently active may be renewed for next year. Active users have an FY02 Status of Active or Restricted ("restricted" means that the user is out of time in the repository). Inactive users have an FY02 Status of Deleted (the user is no longer allowed to charge that resource to your repository) or None (the user doesn't have a username for that resource). If you want an inactive user to become active contact support@nersc.gov. o Users who are "deleted" from HPSS will still have access to their HPSS data for one year following removal from the project. Also note that a user who is active for MPP or PDSF must also be active for HPSS (you should not delete them from HPSS if they will be active on Seaborg or PDSF). 5. Scroll to the top of the "User Status for next FY" frame till you see the tabs and click the "Project Users, Roles" tab. 6. Click the Update link at the top of the "Project User Information and Roles" frame. This puts you in "update mode". 7. Review and if necessary correct the following for each active user: o email address: Note that email addresses should be organizational aliases (like user@llnl.gov). o work phone number o organization o citizenship o project role Note that starting in FY 2003 all roles will be project based (rather than repository based). Project roles are: o Principal Investigator: Can edit the ERCAP request form and manage user lists. This role cannot be selected; if you need to change the project PI contact support@nersc.gov. o PI Proxy: Can edit the ERCAP request form and manage user lists. o Project Manager: Can manage user lists. Note that both MPP and PVP Repo Managers have been given the Project Manager role. o User: Can charge time to some resource. o Deleted: Is no longer a member of the project. When you want to save your changes to the NIM database, click the "Save user list" button at the bottom of the "Project User Information and Roles" frame. You can come back later and make more changes. When you are done verifying the information for all of your active users (those with a project role other than "Deleted") click the check box that says "I certify that the above user information is correct for all active users in this Project". DOE requires that this be done once a year. Note that once you click this box you will no longer see the "Validate User List" link for that project. 8. When you have followed these steps for each of your continuing FY 2003 projects you will have finished your user list validations.
