Administrative Assistant /Financial Management Office

OPENING DATE: 11/25/2007
CLOSING DATE: 12/09/2007
WORK HOURS: Full-time; 40 hours/week


Major Duties and Responsibilities:

USAID Iraq is looking for an individual to fill in the position of Administrative Assistant in the Office of Financial Management (FMO). The Incumbent, who serves as office manager, provides a full range of secretarial support to the FMO--organizing and prioritizing visitors and callers, arranging meetings and taking notes, maintaining the Controller's calendar, drafting and managing correspondence for the Controller's signature, and ensuring that the FMO files are properly organized and consistently maintained. The incumbent is also responsible for tracking the flow of documents in and out of the FMO, and ensuring actions are taken and/or completed on a timely basis. The incumbent is the supervisory timekeeper for the mission and trains individual, office timekeepers.

Requirements:

Education: Completion of secondary school is required. Post secondary school, business school or college education is desirable, including completion of courses in typing, office practices, and word processing.

Experience: Two years of progressively responsible secretarial and clerical experience. One year of which is preferred to have been with an international or governmental organization.

Language: Level IV English (fluent knowledge) and Arabic (fluency) are required.

Knowledge: Good knowledge of correspondence formatting and reporting procedures, records management, timekeeping procedures, and general understanding of International Organizations rules and standards.

Skills and Abilities: Level II typing ability (40 wpm) is required at a minimum. Higher level of typing proficiency desired. Demonstrated proficiency in word processing and automated spreadsheets (i.e. MS WORD, MS EXCEL), good telephone skills and interpersonal skills, and ability to prioritize work assignments are essential. Knowledge of PowerPoint and an electronic imaging/filing system is desirable.
