Annual Wage Reporting

Each year employers must file Form W-2 reports with the SocialSecurity Administration (SSA). These reports are the source of wages credited to workers' earnings records. SSA uses these earnings, along with self employment income, to determine entitlement to, and amount of, Social Security benefits for workers and their dependents. We pass the W-2 data to the Internal Revenue Service for matching against totals from quarterly tax returns filed by employers. SSA's national Website has more information for employers, including a link to the National Business Advisor.

Who to Contact

There are several SSA employees in the Atlanta Region who can help employers with questions about W-2 filing. Wage Reporting Liaisons are stationed in various SSA field offices throughout the region, and the Employer Services Liaison Officer is in the Atlanta Regional Office. The personnel and areas they serve are:

How We Can Help

The Employer Services Liaison and Wage Reporting can assist employers with:

  • W-2 filing procedure -- paper and electronic.
  • W-2 and 941 Reconciliation IRS problems.
  • Problems with missing or incorrect W-2 reports.
  • Employee name and Social Security Number verification procedures.

Small Business Workshops

SSA also participates in workshops and seminars geared to the small employer, or newly-started business. We conduct these training sessions jointly with the Internal Revenue Service, the Small Business Administration, and various civic, educational, and professional organizations. The Internal Revenue Service and Small Business Development Centers can provide information on workshops planned for your area, or you can visit the IRS Small Business Website. The IRS also provides information for new employers at their Tax Info for Business Website.

Social Security Number Verification Service (SSNVS)

SSNVS is SSA's online tool to help employers prevent Name and Number mismatches on year-end W-2s. The service allows for immediate online results for up to ten employees per submission. If you wish to check your entire payroll (up to 250,000 employees), a file format is available for online upload with overnight results. To learn more visit the SSNVS Website (http://www.socialsecurity.gov/employer/ssnv.htm) at our National Employer Website.
