RECORDS MANAGEMENT DIVISION (MRMD)
The goal of the Municipal Records Management
Division is to insure the maintenance of records having
continuing administrative and legal value and the retirement
or proper disposal of those no longer in current use. Therefore,
this Division develops and makes public uniform standards,
procedures and techniques to assist City agencies in their
records management.
At an agency's request, the MRMD surveys existing
records practices and assists in preparation of retention
schedules. It then makes recommendations concerning the transfer
to the Municipal Archives of records of lasting value. Documents
no longer needed on a day-to-day basis by the owner agency
but which have a remaining legal retention period are transferred
into semiactive storage.
The MRMD records center establishes and operates
facilities for storing and processing these records, and retrieves
them when requested by the owner agency. This records center
currently maintains 560,000 cubic feet of City records, as
well as those of the non-federal courts and District Attorneys
of the City.
The MRMD is responsible for the procedures insuring
that disposal is made of records whose legal retention periods
have expired and are no longer required as determined by the
owner agency, the office of the DORIS commissioner, and the
Law Department.
The Division provides records management training
to City agencies' records management personnel in order to
enhance their professional skills.
