Records Retrieval (Reference Request) Services

Federal Records Centers process over 13 million reference requests for Federal agencies each year. That's more than 100 requests every minute! Whether you need your records this week or this minute, NARA's experienced staff will make sure that you receive your files quickly, accurately, and at a reasonable cost.

- Guidelines on Reference Requests
- Reference Request Form (OF 11)Adobe Acrobat PDF
- Centers Information Processing System (CIPS)

CIPS establishes an electronic link between the FRCs and customer agencies. Accessing your agency's records via CIPS is the fastest and most cost-effective method, because it decreases mail time and the center's processing time for retrieval. Register for CIPS today at the link to the right.

Metro Courier Service

The FRC provides courier service for pick up and delivery of reference requests to Federal agencies in selected metropolitan areas. Metro Courier service can be provided each business day or on an as-needed basis. Each Federal agency on the Metro Courier delivery schedule is assigned a customer service representative who is familiar with that agency's unique needs and filing arrangement. This service is offered on a reimbursable basis, and charges are based on urgency of request. Contact your local FRC for more information.

SmartScan Electronic Document Delivery

Get same-day electronic delivery of your records with FRC's SmartScan service. Your reference request is researched, scanned by records center staff and e-mailed that same business day directly to your computer in Adobe Portable Document Format (PDF). SmartScan eliminates outbound and return shipping costs, and is therefore ideal for both small jobs and urgent requests. Visit the SmartScan page for further information.

Training

Local Federal Records Centers offer training on FRC services (including reference procedures), either at records centers or onsite at agency facilities. Please contact your local FRC for more information. In addition, NARA's records management team offers a comprehensive certification course for Federal employees on records management.
