Email Archiving

Welcome to EAS

CIT now offers an enterprise-wide Email Vaulting/Archiving Service (EAS) for our NIH Central Email Service users. EAS provides a secure, external storage for email attachments. This service will assist our users in managing the size and performance of their mailbox, at the same time providing a search utility to fully index and search their vaulted messages.

EAS is now being offered as a fee for service offering at an annual cost per user of $48. Participating IC's will need a CIT Account for fee transfer and also a designated ITPro to authorize enrollment requests. To request a user account for EAS enrollment, please submit a Remedy ticket through the NIH Help Desk.

The following are important notes about this service:

  • EAS is a software add-on to your Outlook or Entourage email program; you must install it on your computer before you can use it. CIT recommends that you install this software add-on on all of the computers from which you regularly access your NIH email. If you use only Outlook Web Access (OWA-only) to access your email, you do not need to install software, but instead use a different URL to access your OWA.
  • EAS will use the same permissions that you currently have in Outlook or Entourage. If you have special permissions assigned to users or groups on any of your mail folders or public folders and the contents are vaulted, those vaulted emails and files WILL BE VISIBLE to the assigned users from the EAS search and Web client utilities.
  • EAS is a bulk storage system (“vault”) for email and should not be confused with the “Archive” feature in Outlook that saves your email to PST files. You must disable all archiving rules within Outlook before you install EAS. If EAS and Outlook both attempt to archive your email, your email attachments could be lost. Likewise, if you manually move emails to folders and subfolders that are not within your mailbox and instead are PST files, EAS will be unable to locate their attachments and only the email stub will be retained. Please see the EAS User’s Guide for further information about managing your email messages.
  • On the next business day following your EAS account activation, the EAS filters will automatically select and move your messages to the bulk storage vault. You should install the EAS software on your PC or Mac before the date your account is enabled in EAS.
