Exhibit Support Materials
This comprehensive page includes information for several kinds of exhibitors: those who have received an exhibit award, others borrowing exhibit cases, and those exhibiting for the GMR who are not receiving an exhibit case. Please note that the forms needed by those receiving an exhibit case and/or award will be included in a packet when the materials are shipped.

Promotional Materials
- National Library of Medicine
(NLM
) and National Network of Libraries of Medicine (NN/LM
) promotional materials, such as NLM bookmarks, are available for NN/LM GMR Members to distribute to librarians, health professionals, and consumers for special events including exhibits. These can be ordered from the Promotional Materials Order Form.
- Exhibit Awards: DO NOT ORDER promotional materials, they will be included with the shipped exhibit. Contact Holly Ann Burt, Outreach and Exhibits Coordinator with questions or for more information and visit the Promotional Materials Order Form to view some of the materials available.
- Outreach Libraries, Subcontractors and Other Exhibitors: A limited number of promotional materials are available for distribution within the region. To obtain samples or for more information, contact the GMR State Contact Librarian or subcontract/award liaison and visit the Promotional Materials Order Form. Additional information is available in the Toolkit for GMR-Funded Outreach.
NOTE: The following linked documents are included in the packet received with an exhibit case. They are listed here for those needing extras or desiring them before the exhibit is shipped.
The Exhibiting Event
Exhibit Preparation and Set-up
- Print out the Handouts needed for each exhibit. For other resources, including fact sheets, visit Educational Resources.
- Exhibit set up instructions are available for the

- If there are problems with either the case or materials, either Report a Problem with an Exhibit online or send an email to the exhibits coordinator.
During the Exhibit

Returning the Exhibit

- Enclose a copy of the appropriate
Red Case Checklist
or Gray Case Checklist
with the exhibit if applicable. Please note any problems on the Checklist before returning it.
- Tape the Return To
label to the exhibit case and/or the box(es) of materials to be returned.
- If necessary, please report a problem with an exhibit online.

Reporting the Event
Exhibit Awards
- Use this Exhibit Report Outline
to create a report for the Exhibit Award.
- With the exhibit report, a short summary article to be published in the GMR blog, The Cornflower is also required. For more information visit: Writing for The Cornflower and Policies and Procedures.
- Optional: Include the Exhibit Budget Sheet
with the report, as well as other expense information and a copy of the invoice (Sample Invoice
).

Outreach Libraries, Subcontractors and Other Exhibitors
- A formal exhibit report is not required. However, a brief summary of the total exhibit experience is required in the quarterly, final and annual reports.
- EITHER
send the Tally Sheet(s)
directly to the GMR after completing each exhibit OR attach to the required reports.

Reimbursement Forms
Exhibits Awards are offered on a cost reimbursement basis. The following forms should be used when applying for reimbursement; they will be included with the shipped materials.
