Records Inventory
and FRC Storage Costs

Each year, the OCIO estimates the FRC costs for storage and services for the approaching fiscal year based on any planned increase in NARA charges, actual costs for the past year, and the historical increases in storage volume (cubic feet) and services.  The OCIO provides estimates and a request for funding to the Program Records Officials (PRO) for the Program Offices as well as all field and area offices and contractor and laboratory sites that are part of the Program Office.  The PROs are responsible for ensuring that funding obligations are made upon request so the OCIO can pay of the invoices as they are received.

During the last quarter of the fiscal year, the OCIO will check the original estimates.  Because monthly costs depend on the quantity of records stored, whether the records are classified or unclassified, and the activity, it is impossible to predict the precise costs.  If it appears that the original estimates fall considerably short of the actual costs, the OCIO will request additional funding from the Program Offices.

If  PROs have advanced knowledge that will impact the FRC costs during the year (reduction of records stored or increases in services), they should notify the OCIO so that funding requirements can be adjusted.
