Four EndNote® Tips to Enhance Usefulness of Your Personal Libraries

Below are four tips, condensed from EndNote Help, for enhancing usefulness of the EndNote libraries that you create. Library staff encourage you to make a backup of your EndNote library before making any of these changes.*

Display a New Column
Many EndNote users like to add customized columns in order to skim library contents or sort contents by specific fields. To add a column, such as Grant Number, follow these steps: 

  1. Go to the Edit menu and choose Preferences.
  2. Click the Display Fields option in the list.
  3. Choose the desired field from the Field list. (For example, use the drop-down menu next to Column 6 and choose Custom 1.) Up to eight fields can be displayed.
  4. Change the name for the library window display by entering a new name in the Heading section next to the chosen field. (The default column heading in the library window will be the same as the generic name of the field. Highlight the default name and type in "Grant Number".) 
  5. Click Apply and then OK to save changes and close the Preferences dialog.

If displaying a column for a customized field, also perform these steps from within Edit/Preferences:

  1. Click on Reference Types.
  2. Choose Journal Article from the drop-down menu.
  3. Click on Modify Reference Types....
  4. Type Grant Number in the box next to Custom 1. (You can modify each reference type if needed.)
  5. Click Apply and then OK to save changes and close the Preferences dialog.

Note: These settings apply to all libraries. You can now manually type applicable grant numbers into the Grant field for each record, as needed, and they will display in the EndNote window. Or, use a modified PubMed (NLM) grant import filter to automatically add grant numbers into the new Grant Number field when importing PubMed files. (Save the filter to your C:\Program Files\EndNote\Filters folder.)

Import Journal Abbreviations
Medical, chemical, and bioscience journal title abbreviations are available for import to your personal EndNote library. Importing journal abbreviations saves time from manually adding a journal's abbreviation to records when a specific journal output style requires abbreviations. These journal lists, and others, are supplied as plain text files in the EndNote/Terms Lists folder. Follow these steps to replace the existing Journals list with one of the supplied journal abbreviation lists:

  1. Go to the Tools menu, select Open Term Lists, and then Journals Term List.
  2. Delete all existing terms from the list (click and drag to highlight all terms, and then click on "Delete Term").
  3. Click on the Lists tab and highlight the Journals list.
  4. Click Import List.
  5. Navigate to the EndNote/Terms Lists folder from the File dialog, select the list you want to use, and click on Open to import the journal names and abbreviations from the file into the Journals term list.

Turn on Preview Pane
EndNote gives you the option of seeing a record's citation information in the Preview Pane. It allows you to view the citation in the journal style of your choosing.

  1. Toggle the preview pane on or off by clicking on the arrows for Show Preview or Hide Preview in the lower right of your EndNote library.
  2. Place your mouse's cursor on the horizontal line and move up or down to make the preview pane narrower or deeper.
  3. Change the journal output style of the citation showing in the preview pane by clicking on the down arrow to the right of the journal name on the toolbar. (Click on Select Another Style... if your journal is not a displayed option.) 

Link to Figures and Graphs
Adding figures and graphs to records in EndNote allows for easier manuscript preparation. EndNote does the work for you when you use the Format Bibliography command from within Microsoft® Word. To add a figure or graph, follow these steps:

  1. Select References/Figure/Attach Figure to insert graphics and other files into the Figure field. (If you copy and paste, system settings for colors and other attributes may be lost from the original file.)
  2. Attach only one graphic or file attachment in the Figure field. (Inserting a second graphic or file replaces the first one. The previous figure is deleted from the DATA folder. See EndNote Help's "Storing and Sharing Figure Files" for more information about the DATA folder.)
  3. Type caption text into the Caption field. (The caption labels the graphic in the figure list at the end of a Word® document. The caption also helps you search for the figure.)

Note: Only insert a figure into a reference that contains the Figure field. If you need to add the Figure field to a reference type, search on "Customizing Reference Types" within EndNote Help.)
