Reproduction Service Conditions

The Division of Rare and Manuscript Collections provides reproduction services.

All requests are subject to the following conditions:

  • Curatorial approval
  • Donor-imposed restrictions
  • The copyright laws of the United States

Reproduction Service Information

All requests must be submitted through our on-line form.

Because many of the materials in the collections are irreplaceable, the Division of Rare and Manuscript Collections may be unable to photocopy or otherwise reproduce any materials that could be damaged in the process.

All orders are processed in sequence, approximate turnaround periods vary based on material format and demand, but plan on four to six weeks for any order not requiring rush service. All orders needed in less than four weeks must be approved by calling 607-255-3530.

When requesting digital image files the following apply:

  • Standard resolution for files is 300 dpi (unless otherwise requested).
  • Research quality files will typically be in PDF or JPG format (unless otherwise requested).
  • Publication quality files will be in TIF format (unless otherwise requested).
  • If requesting online delivery make sure you have an internet connection and computer capable of handling large files.
  • Bulk orders may qualify for discount.
  • We are unable to provide technical or graphic editing assistance once you have the files.

  • Prices on our order form are for guidance only.
  • Prices are per page or exposure. If possible we will attempt to put multiple pages on one exposure.
  • Research fees may apply to orders without specific citations (typically $5.00 to $10.00).
  • Fragile items or those requiring special handling will incur an additional fee (typically $5.00 to $10.00).
  • We will provide estimates for orders over $20.00 if requested. To request an estimate send an e-mail.
  • Pricing is for reproduction only and does not include any fees that may be required for permission to publish or licensing of the reproductions.

Orders requiring less than four weeks may incur a minimum rush fee of $10.00 or more.

Payment Methods:

  • An invoice will be sent with your order.
  • All payments must be made in U.S. currency.
  • Payments by cash, money order, or a check drawn on a U.S. bank can be mailed to us.
  • Payments by account or credit card, Visa, Mastercard, Discover or American Express can be made by calling.
  • International orders and orders over $100 must be paid in advance.

Permission to Publish

Users of the collections are expected to abide by all copyright laws. Photocopies and other reproductions are provided for research use only and may not be transferred or recopied without permission. Materials from the collections cannot be published or exhibited without obtaining the legally required permission. Permission requests should be e-mailed to Permissions Coordinator. Permission requests MUST include:

  • Title of publication
  • Expected date of publication
  • Type of publication (scholarly, general, etc.)
  • Expected print run or distribution
  • Country of publication

We will then review the request and respond regarding the permission and publication fee. In many cases, the Division of Rare and Manuscript Collections is owner of the physical object only. It is the obligation of the researcher to fulfill the requirements of the copyright law.

Please allow a minimum of four weeks for permission authorization.
