Information for Poster Presenters

Poster specifications:

  • Maximum poster height: 44 inches
  • Maximum poster width: 44 inches
  • Minimum recommended font size of poster’s main text: 18 points
  • Minimum recommended printed height of poster's main title text: 2.5"

How to mount your poster:

  • The poster should be printed on standard poster-quality material (e.g., poster paper, laminated paper, lightweight cardboard) that is light enough so that the poster may be secured with pushpins to the display stands. Pushpins will be provided.
  • Your poster should be installed securely enough to withstand a bit of jostling as the display stands are moved a short distance to their final configuration. This movement will be necessary since half the hall that will be used in the evening poster session will be used for oral presentations during the day.

Where to mount your poster:

  • You will be assigned a specific display stand code in Salon III of the Arlington Ballroom. You will find this code in the workshop program materials that you receive when you check-in for the workshop. Poster display stands will be marked with these numbers. Please do not remove or cover the poster numbers.

When to install and disassemble your poster:

  • You may pin it up on Sunday evening between 6 and 8 PM on Sunday, November 13. You may also pin it up during the day on Monday, November 14. All posters must be pinned up by 4:30 PM on Monday.
  • You must remove your poster from the display stand at the conclusion of the Monday evening poster session. CCSP is not responsible for posters not removed then and they may be discarded.

Layout suggestions:

  • Place the title at the top center of the poster.
  • Indicate authors and affiliations below the main title.
  • Do not simply post the pages of a published paper.
  • Avoid hand drawn materials.
  • Make sure it has a logical flow.
  • Key points should be in large type.
  • Do not try to tell the ENTIRE story. Save some key points for the one-on-one discussion. However, the material that you do present should be self explanatory so that you are free to supplement and discuss particular points raised in inquiry.
  • You may want to group logically consistent sections or columns of the poster on backgrounds of the same color.
  • Arrange materials in columns rather than rows. An introduction should be placed at the upper left, and a conclusion at the lower right, both in large typescript.
  • Each figure or table should have a heading in large type stating its take-home message. Detailed information should be provided in a legend in smaller types below. The legend should describe the content of the figure and the conclusions derived.
  • Keep everything as clear as possible.

Additional equipment:

  • Laptops/Computers - Should you elect to bring a laptop or personal computer, a table can be provided for you free of charge. You will need to power your equipment by battery since wall outlet electrical supply will not be available. Please send an E-mail to to request a table. Internet access will NOT be available. Please plan accordingly.

Submitting an electronic version of poster:

Following the workshop, a DVD and website will be produced that will include the electronic presentations of all invited speakers as well as electronic versions of all presented posters. Thus, we encourage all poster presenters to submit an electronic copy of their poster prior to the workshop.

  • Files must be submitted in PDF format. If possible, please save at a resolution such that the poster would print at a size of 11"x17" at 300 dpi.
  • Name your poster PDF file as: FAMILYNAME.Z.pdf. Where FAMILYNAME is the family (last) name of the poster presenter, and Z is the first initial of the poster presenter.
  • Please email your PDF file to (If you encounter a problem in doing so, send an e-mail to ). A second option is to burn a copy of the file to a CD or DVD and mail to the following address prior to the workshop:

If you are unable to transmit an electronic copy of your poster prior to the workshop, you may hand-deliver the poster file to workshop staff at the registration/information desk. Please provide the PDF poster file on one of the following forms of media (please mark it with lead author’s name):

- CD-ROM a.k.a CD-R (CD-RW not recommended)

- DVD

Workshop staff will have limited ability to copy poster PDF files from USB memory sticks/pen drives (any brand as long as they do not require drivers) if poster presenters are willing to leave them with the staff for a short period.

NOTE: We will not be printing the posters for use at the workshop.

Assistance:

  • Staff will be on hand in the poster area during the poster-set up periods to answer questions and offer assistance. At other times, please see one of the staff at the workshop's registration/information desk.
