Divisions or indivduals may submit proposals for tours or workshops at the Annual Meeting. Your input allows greater opportunities for a more rewarding experience!

Tour Proposals

All tour proposals should be labeled with “ASA-CSSA-SSSA 2009 Annual Meetings Tour Proposal”

Deadline for Tour Proposals is February 17, 2009.

A tour proposal should include the following information:

  1. Name of tour.
  2. Day, date, and time.
  3. Which Division(s) are sponsoring the tour.
  4. A descriptive itinerary of the tour, be as detailed as possible. This information is extremely important in that the information provided will serve as the basis for arriving at a transportation cost. The bus company needs the information to figure out the mileage cost. You need to include total mileage, types of road surfaces covered (asphalt/concrete, gravel, dirt, etc.). Are there any tight turns that a normal-sized coach could not make?
  5.  Will any meals be involved on the tour? If yes, please indicate if we are to cost out the box lunch. Will the box lunch be eaten enroute or are you stopping somewhere for lunch? Or are you stopping at a business where lunch will be provided courtesy of that business? Be sure to include full details.
  6. Include information on any reimbursable expenses you will incur in organizing and holding the tour, e.g., printing costs for tour booklets, backhoe work for pits, etc. We need this information for budget purposes.
  7. Will hotel reservations be required?
  8.  What is the maximum number of people that can be accommodated on the tour? Note: We plan on a minimum of 30 people to operate the tour.
  9. Supply name, address, office phone, cell phone, and Email address of contact person for the tour.

Workshop Proposals

Deadline for Workshop Proposals is February 17, 2009.

Please provide the following information:

  1. Name of Workshop.
  2. A brief description of the workshop.
  3. Dates and times for the workshop.
  4. The sponsoring Division(s) for the workshop.
  5. The maximum number of participants that the workshop can accommodate.
  6. Whether coffee breaks or meals will be associated with the workshop. Know that coffee breaks and meals will add substantially to the workshop registration fee.
  7. What A-V equipment will be needed for the workshop?
  8. What are your Internet requirements? Perhaps you will need one connection for the lecturer. Or do you need an Internet connection for each attendee? If no Internet is needed, state that as well.
  9. What reimbursable expenses will be incurred in organizing and holding the workshop such as handouts?
  10. How much travel support is being provided to the speakers and how many complimentary registrations will be provided to persons other than speakers?
  11. Provide name, address, office phone, cell phone, and Email address of the contact person for the workshop.
