Approval of Documents

How do I know I have documents that require approval?

If stamping a document "Approved" on someone else's behalf, is it necessary to upload the "Delegation of Authority" paperwork every time?  What supporting documentation is required to be uploaded to the document in this case?

The "Delegation of Authority" must be kept on file in the office.  It is not required that it be uploaded to every document approved.  PLEASE NOTE: if you are approving on behalf of someone else you are required to obtain a signature on that document and upload the signed document (i.e., authorization, voucher) before applying the "Approval" stamp.

How can I determine if a document requires further action?

First you should access the "Digital Signature" page.  If the box under "Pending Routing Actions" is empty there is no action required.

If the "Pending Routing Actions" does indicate routing necessary you may want to "Display Full History" to find out what changes have been made to the document after it was initially stamped "Approved".

What causes a document that has already been approved to route out of "Approved" status?

There are several things which may cause this to happen.  Some examples of instances when this may happen:

  1.  The document was viewed in "Edit" mode even if no changes were actually made.  The document will be rerouted through the entire routing list.
  2. The ticket price increased in excess of $100.00 due to fuel surcharges.  This will route the document back to ONLY the approver.  When this happens, the approver will receive an e-mail notification that the document requires attention though it will not be evident of the reason.  The document must be opened in "edit" mode and the "Approved" stamp must then be reapplied.
