Release of VACMAN Version 3.0.11
VACMAN Version 3.0.11 is now available at the File Transfer Protocol (FTP) site. The VACMAN team recommends that you install this new release before October 31, 2005.

This v3.0.11 release features the Direct Ship Order and Receipt screens, replacing previous Varicella screens. This facilitates the shipment of FluMist®, as well as varicella and anticipated future vaccines, directly from manufacturers to providers.

Check the Summary of Changes for a complete list of differences between v3.0.10 and the new v3.0.11 release.

Today's Help Desk Tip: Zip Codes

Adding and Editing Zip Codes
When enrolling a new provider, the Providers - Address tab requires that you select the zip code from the Zip field drop-down box. The system then fills the associated City and State fields.

If the zip code you need is not available on the drop-down list, use the following instructions to add it to the drop-down list. You also can use these instructions to edit an improperly formatted zip code.

  1. Select any existing zip code from the drop-down box and press Enter.
    Result: The system fills the City and State fields associated with the selected zip code.
  2. Overtype the displayed field values with the city, state and zip code that you need to add or edit. Press the Enter or Tab key as you exit the fields.
  3. Complete remaining fields as usual, and Save the record.
    Results:
    • The system saves the Provider record.
    • The zip code and associated city and state subsequently display in the drop-down box on the Providers - Address tab.

Things to keep in mind:

  • The zip code field cannot be blank. At least five digits are required; or, you can enter a hyphen (-) followed by the four-digit extension.
  • Use of the hyphen requires the four-digit zip code extension; otherwise the system deletes your zip code entry.
  • If multiple cities share the same five-digit zip code, use the nine-digit format if possible, so that each city has a unique zip code. Or, use the following instructions to enter a unique city name for an existing zip code.

Multiple Cities with Same Zip Code
If one or more cities use the same zip code, use the following instructions to add the multiple cities to the drop-down list.

  1. Select the zip code from the drop-down box and press Enter.
    Result: The system fills the City and State fields associated with the selected zip code.
  2. Overtype the displayed field values with the new city and state that you need to add. Press the Enter or Tab key as you exit the City field. In order to retain the duplicate zip code for a different city, do not re-access the Zip Code field. Use your cursor to bypass the Zip Code field.
  3. Complete remaining fields as needed, and Save the record.
    Results:
    • The system saves the Provider record.
    • The zip code and new associated city and state subsequently display in the drop-down box on the Providers - Address tab.
