NAME: Make Subfield $o in Fields 854-855 Obsolete

SOURCE: Library of Congress

SUMMARY: This proposal suggests making subfield $o in fields 854-855 obsolete in the USMARC holdings format

KEYWORDS: Field 854 (Holdings); Field 855 (Holdings); Definition of Enumeration and Chronology (Holdings)

DATES STATUS/COMMENTS

5/5/89 - Forwarded to USMARC advisory group for discussion at the June 1989 MARBI meeting.

6/27/89 - Results of USMARC advisory group discussion - Deferred. This issue needs to be studied further. There was a request for modeling of examples.

7/26/89 - Results of LC review - Agreed with the MARBI decision.

6/26/90 - Results of USMARC advisory group discussion - The issue of recording a supplement or index designation used as caption was subsumed under proposal 89-8/5, which was approved (Option C). Any remaining issues, including the use of subfield $o, will be reexamined in another proposal with a new number if necessary.

8/8/90 - Results of final LC review - Agreed with the MARBI decision.

PROPOSAL NO.: 89-8/7: Make Subfield $o in Fields 854-855 Obsolete

1. INTRODUCTION

Both the NISO serial (Z39.44, section 8.5.2.2) and the NISO non-serial (Z39.57, section 4.5.6.6.5.) standards provide for recording non-serial supplements, indexes, etc. having numbering relating to a part of a bibliographic unit (e.g., a multipart or serial item). In both cases, the caption and enumeration for the supplement, etc. are treated as a subsequent order designator, e.g.,

Z39.44: v.l6 : suppl.l (1977 : June 1)
  v.3l : suppl.

Z39.57: v.3 : suppl.
  v.3 : suppl. : pt.1\v.3 : suppl. : pt.2

Currently, the holdings format specifies that the designation for the supplement, etc. be recorded in subfield $o (Type of supplement/accompanying material) of field 854 (Definition of Enumeration and Chronology/Publication Pattern for Supplements/Accompanying Material) or in subfield $o (Type of index) of field 855 (Definition of Enumeration and Chronology/Publication Pattern for Indexes), although the full implications of coding in this way are unclear. (See Attachment A for the content designators valid for field 854; see Attachment B for the content designators valid for field 855.)

Display: v.3l : suppl.

Note: Can the proposed display be generated from these fields?

854 10 $6l$av.$osuppl.
864 40 $6l.1$al6$bl$il977$jJune 1
Note: The holdings format does not show an 854 subfield $o linked with an 864 subfield $b and the question arises as to whether the two subfields should be so linked.

It seems that such supplement, index names should be treated as captions or as substitutes for a level of enumeration as the NISO serial and nonserial standards do and thus be coded in subfields $a-$f of the appropriate field 854/855. Consequently, the supplements, indexes to parts would be coded in a way more consistent with the NISO standards (i.e., as part of the caption) and with the way that basic bibliographic items are coded and displayed. Subfield $o in fields 854 and 855 could thus be made obsolete.

1) Display: v.l6 : suppl. l (1977 : June 1)

854 00 $61$av.$bsuppl.

2) Display: v.3l : suppl.

854 00 $61$av.$bsuppl.
864 40 $61.l$a31
Note: Display logic should output the 85X caption alone if there is no corresponding enumeration or chronology in the corresponding 86X field. Alternately, a convention for "null enumeration" could be developed, e .g.,

854 00 $61$av.$bsuppl.
864 40 $6l.l$a3l$b( )
Note: Empty brackets are used in 864 subfield $b for "null enumeration" so that the caption can be displayed alone.

3) Display:
v.3 : suppl. : pt.1
v.3 : suppl. : pt.2

854 00 $61$av.$bsuppl.$cpt.
864 41 $61.1$a3$c1
864 41 $61.2$a3$c2

  or

854 00 $61$av.$bsuppl.$cpt.
864 41 $61.l$a3$b( )$cl
864 41 $61.2$a3$b( )$c2
Note: In the second instance, empty brackets are used in subfield $b of field 864 for "null enumeration."

2. PROPOSED CHANGES

The following is presented for consideration:

In the USMARC holdings format, make the following changes:

  1. In field 854 (Definition of Enumeration and Chronology/Publication Pattern for Supplements/Accompanying Material), make subfield $o (Type of supplement/accompanying material) obsolete.
  2. In field 855 (Definition of Enumeration and Chronology/Publication Pattern for Indexes), make subfield $o (Type of index) obsolete.

Note: The need to retain subfield $o (Name of supplement/accompanying material) in field 864 (Enumeration and Chronology--Supplements/Accompanying Material) and subfield $o (Name of index) in field 865 (Enumeration and Chronology--Indexes) should be investigated.
