News: GBIF seeks Administrative Assistant

The GBIF Secretariat, located in Copenhagen is seeking a highly-skilled and energetic Programme Assistant to assist our senior scientific staff with their main administrative tasks.

The tasks include complex travel arrangements and scheduling (including obtaining visas and other immigration issues), organising international meetings and all associated logistics for international delegates, and with local organisers, ensuring multiple and sometimes conflicting deadlines are met, plus generally ensuring operational effectiveness of multiple scientific programme schedules. GBIF is an international organisation based on a multilateral agreement amongst countries and international organisations with the purpose of making scientific biodiversity data available via the internet. Essential Skills and Experience:

  • The working language of the Secretariat is English. Applicants are required to have excellent English reading, speaking and writing capabilities.
  • Minimum 3 years of experience working in support of 5-10 scientific or similar programme staff.
  • Ability to work effectively in a multicultural environment.
  • Excellent office administration and organisational skills: capable and practiced in handling and prioritising complex, overlapping tasks.
  • Excellent office IT skills (e.g. Windows, word processing (MS Word), spreadsheets (Excel), email, web-based applications).
  • Experience in management and upkeep of organisational databases e.g. contacts, travel, meetings, etc).
Desirable Skills and Experience:
  • Work experience in an international organisation
  • Working knowledge of other UN languages
  • Working knowledge of Danish
  • Work experience in biodiversity-related agencies/environments
  • Experience in organising international events, meetings and workshops: including planning international travel with multiple stops, securing accommodation, visa and immigration related assistance.
  • Handling of official correspondence on behalf of senior staff in writing, by phone and via email.
  • Track record of drafting scientifically correct public documents (web content, media releases etc)

Remuneration: GBIF salaries are competitive and are exempt from Danish income tax. Salary will be negotiated according to experience and qualifications within the general range for the position, according to the GBIF Staff Rules.
