NIC: Poster Presentations

Poster presentations at the 43rd National Immunization Conference are selected based on abstracts submitted prior to the deadline (November 14, 2008). Authors of abstracts were notified via email of acceptance decisions on December 29, 2008. If you submitted an abstract and have not yet received a decision notice, please contact the Conference Planning Team at 404-639-8225 or via email to NIPNIC@cdc.gov.

All posters will be displayed for two days at this year's conference. Posters will be set up in the Grand Hall (on the lowest level of the conference center) on Tuesday morning, March 31, and removed on Wednesday evening, April 1.

All poster presenters are required to confirm their intent to present their posters. The Conference Planning Team will forward additional details once all poster confirmations have been received.

The deadline to confirm posters is January 30, 2009.

The information provided below should be beneficial as you prepare for your travel and for your poster presentation.   

Confirm Your Poster Presentation

A large number of abstracts have been accepted for poster presentation at this year's National Immunization Conference. In an effort to ensure that there is space available for all presenters who will participate, and also to cut down on empty poster boards resulting from "no shows," we require that all poster presenters confirm their participation in the conference.

The deadline to confirm your poster presentation is January 30, 2009.

Please note that all poster (and workshop) presenters at the 43rd National Immunization Conference are required to register for the conference and pay normal registration fees.

Poster Hours at a Glance

Tuesday, March 31

Poster Check-in

Check-in will take place in the Grand Hall (on the lowest level of the conference center). You will receive your poster board location at this time:

  • Tuesday, March 31 between 7:00am and 9:30am

Poster Set-up and Break-down

Posters must be set up between 7:00am and 9:30am on Tuesday March 31 and broken down between 4:00pm and 6:30pm on Wednesday April 1. Any items remaining on the boards after 6:30 p.m. on Wednesday will be discarded.

Poster Display Hours

Posters will be on display and available for viewing by conference attendees from 10:00am to 4:00pm on Tuesday and Wednesday (March 31 and April 1).

Several hours of the conference will be dedicated solely to poster presentations and exhibit viewing. During these special poster viewing hours, at least one individual representing your poster should be available to discuss your presentation.

The special poster viewing hours on both Tuesday and Wednesday are the following:

• 10:00am to 11:00am
• 3:00pm to 4:00pm

We also recommend that you consider being available to answer questions about your poster at the following times:

• 12:00pm to 2:00pm (lunch)

*Exhibits at the conference will be open and available for viewing during the same hours that posters are available.

Poster Specifications

All poster boards are 4Hx8W feet in size. The boards will be a neutral color and Velcro or pins may be used (responsibility of presenter).

If the title is not included in the poster, the presenter is required to provide a printed strip stating the title and author(s) in addition to the panels that make up the body of the presentation.

Delivery of Poster Materials

It is the responsibility of the presenters to transport and store posters. It is recommended to carry them with you; however, if this is not possible check with your hotel for shipping recommendations and associated fees as you will be responsible for any such costs.

Guidelines for Creating Your Poster

Poster presentations give you an opportunity to acquaint conference participants with the fundamentals of your program, special project, or study analysis quickly and easily. A poster is a display that uses text, graphs, tables, charts and pictures to present the highlights of a subject. It should be designed to (1) catch the viewer's attention, (2) quickly acquaint the viewer with the basics of your subject and (3) make the viewer want to learn more.

The following are some general guidelines for creating your poster:

  • As a rule of thumb, about eight poster panels (charts, text, illustrations, etc) are the maximum for an effective presentation.
  • Keep text brief.
  • Do not use all capital letters for text. It is harder to read than upper and lower case.
  • Use graphics (charts, tables, illustrations, etc.) that can be understood in a minute or less.
  • Connect ideas so the flow of logic is clear from panel to panel. Consider numbering the panels to show the correct sequence.
  • Assume that people will be looking at your poster from about 3 feet away, and design it to be read from that distance.
  • Remember to describe all parts of your program, including analysis of why a program either worked or did not. The viewer should come away with some new knowledge or insights.
