Transfer and Disposition

The Fort Worth Federal Records Center is here to help you with your all of your records center needs. Our Transfer & Disposition is able to guide you throughout the process from even before your records leave your office.

We provide routinely provide free workshops to learn about how to complete the Transfer & Disposition process from the creation of the SF-135 Records Transmittal and Receipt form, securely picking up the records and delivering to our facility, to the eventual disposal or transfer to the National Archives.

Storage Services

The Fort Worth Federal Records Center provides storage in a safe and secure environment that meets the requirements of 36 CFR 1228 such as an intrusion detection system with central monitoring, camera protection, non-aqueous fire suppression system in our Electronic Records Vault (ERV), and other security and safety measures.

We also provide a temperature controlled environment for some types of records. Records centers are authorized to store those records of a Federal agency that are properly covered by a NARA-approved records disposition schedule or the General Records Schedule (GRS).

Agency offices may choose to transmit the SF 135 (and box listings) electronically using email. You may obtain an electronic version of the SF 135 by visiting the Records Center Program's Forms web site.

Fast Pak Services

We provide assistance in preparing your records for transfer, and provide the staff to do the packing and paperwork so you don't have to. Fast Pak services cover SF 135 processing, packing of boxes, preparation of a boxed file inventory, and transportation to the records center. Free, no-obligation cost estimates are available.

Active File Management

We provide "back office" support to agencies seeking alternatives to in-house active file management. Please do not hesitate to contact us if you are seeking to free up room within your office, and would like us to assist and guide you in this process.

Unscheduled Records

Federal agencies may transfer unscheduled records to the Fort Worth Federal Records Center. This provides agencies with the flexibility to transfer records in a timely manner.

Holdings Information

The Fort Worth Federal Records Center is also able to provide you with information on your holdings, and this information is attainable in electronic format (MS Access, MS Excel, or text file by email or on CD-ROM). We offer customer holdings information in electronic format through the INFORM service. Customers can receive INFORM holdings data in several formats (Access, Excel, or text file via e-mail or on CD-ROM).

INFORM allows customers to easily run queries and reports on their holdings and set their own criteria for filtering and scrolling through information. INFORM can also sort by disposal authority, disposal code, storage location, or other options.

Relocation of Records

At times, it may become necessary to move records within a records center. When this happens, agencies will be notified of the relocation.

A Notice of Accession Location Change, NA Form 13016, is mailed following the relocation. Agency copies of SF-135s should be annotated to show new location numbers for use in securing reference service.

Note: If you are using CIPS, the computer database automatically provides you with the updated location, when you provide the transfer number.
