Services For Federal Agencies

Introduction

NARA's Pacific Region (Laguna Niguel) stores inactive records created or received by Federal agencies in Arizona, southern California, and Clark County, Nevada. It is the first stop for records after they leave the physical custody of the agency of origin. Agency records stay in the facility, where they are tracked through an automated database, until they are either destroyed through recycling or accepted by NARA as permanent records. A small sampling of U.S. agencies storing records at the facility include: the U.S. Navy, Army Corps of Engineers, Bureau of Prisons, Department of Veterans Affairs, U.S. Attorneys, and U.S. District and Appeals Courts. All Federal agency records management and interaction with the facility is governed by the Code of Federal Regulations as it relates to records management. Access to all records stored at the records center is controlled by the agency of origin. Historically valuable records that have met the required disposition period may have been formally accessioned by NARA's Regional Archives in Laguna Niguel. Records Management Assistance

NARA works closely with Federal agencies and can provide assistance in developing, improving, and managing a records management program and preserving historically significant, permanently valuable records. Records management staff members are available to consult with you about specific agency records maintenance problems and practices. Federal agencies wishing assistance in implementing good recordkeeping practices, providing management briefings and employee training, appraising and scheduling records for disposition, or determining records status should contact Cathy Westfeldt by electronic mail (cathy.westfeldt@nara.gov) or telephone at 949-360-2642. Storage Service

NARA's Records Center Program provides storage in a safe and secure environment that meets the requirements of 36 CFR 1228 for all types of records. Records centers are authorized to store those records of a Federal agency that are properly covered by a NARA-approved records disposition schedule or the General Records Schedule (GRS). Agency offices may choose to transmit the SF 135 (and box listings) electronically using electronic mail. You may obtain an electronic version of the SF 135 by visiting the records center program's forms web site. Requesting Files from the Records Center

The facility provides reference service with a turnaround time of 24 hours to Federal agencies. Agency reference requests can be processed by mail or electronically through the Centers Information Processing System (CIPS). Agencies can also make reference requests by mail. Workshops

The facility offers records management workshops to Federal personnel on a reimbursable basis as well as free management briefings on agency records responsibilities. Courtesy Storage for Members of Congress

The facility provides temporary storage for inactive records and personal papers accumulated by Senators and Representatives during their terms in Congress. This service is provided to Members as a courtesy, to ensure that their papers receive the care and protection that they deserve. The papers are the property of the individual legislator and must be removed from the facility 90 days after the Member leaves office.
