Printing Tips and Guidelines

Starting a Printing Services Branch Job

Your first step is to obtain an SSFAS number or Universal Request number.

SSFAS (Service and Supply Fund Activities System) is an electronic system for requesting certain NIH goods and services. SSFAS is a sub-system of the NIH Administrative Database System (ADB).

To obtain Printing Services Branch services, a customer must have a valid (Print Reviewed) SSFAS request number. This number can be a one time use of the Central Services Activities (CSA) Request - Printing (also called a "P" number) assigned to a particular printing job or a Universal Request (or "X" ) Number to be used for multiple/repetitive jobs or copy center access.

A Universal Request "X" Number is usually obtained from your Administrative Officer. The approved service activities include:

PCO - Print Copy Center

PDU - Print Duplication

PGR - Print DRG

"X" numbers can be established for multiple activities covering the spectrum of NIH Medical NIH Medical Arts and Printing (MAP) Services with one exception: The "X" number for "PGR - Print DRG" must be activated for that one service only.

Select "PCO - Print Copy Centers" in order to access any or all of the MAP copy centers. When Universal Requests are print-reviewed for this service, a memo addressed to the Printing Group is generated at the print review station that provides a space for the ordering office to indicate the password to be established for use with that "X" number. To access walk-up copiers, the password and "X" number must be entered into copier controllers attached to the machines. This combination of "X" number and password was developed in order to prevent inadvertent use of another office's "X" number. Copy Center Job tickets filled out to cover duplication jobs left for the copy center operators to complete must include your "X" (or "P") number and CAN.

"X" numbers for "PCO - Print Copy Centers" can be renewed from fiscal year to fiscal year. The ordering office need only access the change mode for the particular Universal Request, go to the second screen, add a "Y"in the field "ADD NEXT FY: ", and forward the computer-generated memo with password to: PRB/OC NSA Bldg., Suite 113, MSC 3340 or fax to 301.402.0217.

Select "PDU - Print Duplication" for jobs to be sent to either of our duplication facilities (Stonestreet or Rockledge II).

Select "PGR - Print DRG" only to cover the duplication of grants, summary statements, and council books. Only one "Print DRG" request can be established per IC. These requests are generally renewed from year to year without any change in "X" number unless necessitated by a CAN or other organizational change.

Bookbinding

Requests should be on a CSA - Printing Request ("P" Number) and marked to the attention of David Pair in the Printing Procurement Section. Please contact Mr. Pair for print order numbers at 301.496.3881.


Copy Centers

Manned and walk-up copiers are available for use at the following location:

Building 1, Room B1-30

Equipped with full color copiers.
Hours of operation are generally: 8:00 a.m. to 4:30 p.m.

Walk-up and manned jobs are requested by filling out a Copy Center Job Ticket (available in the centers) citing either an "X" or "P" number and your CAN.

Desk to Desk Distributions

The Production Section can duplicate sufficient copies of small documents for desk-to-desk distribution by Mail and Courier Services/ORS to all NIH employees.

Printing requests for desk-to-desk distributions must be approved by the Associate Director, Office of Administration, before they are distributed. The office is located at 6011 Executive Blvd., Room 605E and the phone number is 301.496.4466. (Three specific documents have blanket approval: Telecommunications Notes, Public Safety News, and ORS News: To Use!)

Duplicating

Requests should be made on either a Universal "X" number of CSA - Printing Request "P" number and submitted to any of the offices listed below. For assistance contact Arlene Wallace on 301.594.0984.

Federal Depository Library

Title 44, Chapter 19, of the United States Code describes the requirements for the availability of Government Publications through the Superintendent of Documents and the distribution of publications to depository libraries. Consult with the Printing Procurement Section at 301.496.3881 to determine whether an IC publication to be printed should be provided to these depositories.


Forms

All requests for printing of forms must be on a CSA Printing Request "P" Number and cleared through the appropriate IC Forms Management Officer. A listing of officers is located in the NIH Telephone and Service Directory Yellow Pages (Item #69). For further assistance, contact the Forms Office, Division of Management Support, OMA at 301.496.2832.

Submit approved CSA Request ("P" number) with required materials to the Printing Procurement Section at either Building 31, Room B4B-N-08. For further information, contact the Printing Procurement Section at 301.496.3881.

Mailing

Press Sheet Inspections

The Printing Procurement Section specialists perform press sheet inspections to make certain customers obtain quality printed materials including correctness of color, measurements, and other requirements in a printing job. Press sheet inspections are charged to the customer to cover the travel and related costs incurred in having a printing specialist on-hand at the commercial printer's plant while the job is being produced. Customers are charged in increments of 1/4 of a day (2 hours). To request Press Sheet Inspections, consult with the Printing Specialist assigned to your job. Publications

TAll CSA Requests ("P" numbers) for the printing of NIH publications must be reviewed and approved by the Chief, Editorial Operations Branch, Office of Communications prior to submission to Printing. Special Handling

Covers provision of labor-intensive services such as: Hand insertion of material into jiffy bags, drilling (3-hole punching) of printed material, affixing peel-off labels for bulk mailing, rubber banding of printed material, etc. For more information, call 301.496.6781.
