Required Training for Employees of LANL
Anyone who works for Los Alamos National Laboratory as a LANS employee, contractor, subcontractor or is an on-site visitor for 10 days or more in a year is required to be properly trained and authorized to perform work. The Department of Energy (DOE) requires that all workers who come on site take a core set of courses before they are authorized to do work on Laboratory property or property rented by the Laboratory. Several required courses have annual refresher classes that workers must complete to maintain their authorization to perform work. Additionally, there are
- LANL site-specific courses that are compulsory before individuals may work in certain technical areas, and
- Job-specific courses that must be taken before workers may perform specific tasks.

Each worker's tailored requirements will be assessed and explained by the worker's line manager.
Although many Laboratory courses are web-delivered, most courses are live performance-based courses and require the student/trainee to be present in instructor-delivered class to view demonstrations and/or perform a task as part of passing the course. Furthermore, not all web-delivered courses can be made available on the Lab's external server because many contain business processes that are not public information.
Finally, new hires and potential hires may not receive credit for web-based courses (listed below) until their Z-numbers (employee numbers) are in the official LANL Employee Information System (EIS). Having been assigned a Z-number as a interviewee or new hire does not necessarily mean that your official record is in EIS.
Before a person can take online courses for official credit, the person must:
- Wait until she/he is on site in Los Alamos,
- Be given a photo ID badge, and
- Ensure that the LANL Security Division has authorized that his/her personnel records be moved into the official EIS.
Recently, an incident example was brought to T-Division’s attention which proves the above statements.
A new student was hired into a group within T Division and went through the GET Training and completed the course #9369. Once the student arrived at the group the next step that was taken was to have the student complete all of the required training. The training courses were completed and copies of the credit confirmation sheets were submitted to the group administrator. Everyone assumed that the student would receive the appropriate credit for each course that was taken. Several days passed and the group administrator called the registrar to ensure that the student had received course credit. Upon speaking with the registrar, the administrator learned that because it takes several days for the authorization of personnel records to be moved into the official EIS database the student did not receive credit, because the student’s identification information had not yet been recognized by the database. Action was taken and the student did eventually receive course credit.
Lesson Learned:
It is important for training courses to be completed in a timely manner. However, a student’s Z Number must be in the system before training courses are taken and credit received in the system. This will help to avoid asking the student to repeat the training and using valuable work time.

Training Proctor Site
T Division is proud to announce it now has a proctor site for training. This site has been established to assist employees of T Division with the Laboratory’s Institutional Required Training for individuals who do not have administrative access and will allow them to complete the training in a timely manner and be in compliance with Lab policy.
Location
The T Division Proctor Site location is TA-03, Building 410, Room 163 (T-10 group located off of Diamond drive).
Employees should enter in through the door, which is located at the northeast end. Room 163 is the second door on the right-hand side. (There is a sign above my name, Marilyn Ramsey which reads “T Division Proctoring Training Site.”)
How to schedule testing

It is not possible to accommodate walk-ins. While individuals are testing the door must be closed to ensure that individuals are given the optimum testing conditions. This means that once the door is closed it will not be opened until the testing is complete.
The T Division Proctor Site currently has three (3) stations or computers. A fourth (4) one will be up and running in the near future.
Who should use the proctor site
All employees working for, or associated with, T-Division, including Visitors should contact the training coordinator, Marilyn Ramsey 667-4403. It has been determined that those without administrative access will have top priority.

Courses that cannot be taken at the proctor site
General Employee Training (GET)
GET Test Out
However, T-Division is currently working with Central Training to obtain authority so that GET training will be available at the T-Division Proctored Training Site. We will notify all T-Division groups when this authority is obtained.
Proctor site testing policies
Instructions will be given to each employee before testing begins.
These are the policies, which have been established by the Lab to govern the activities within the walls of the proctor site. Each individual who come to the proctor site will be asked to read them before they begin a course and any accompanying quiz or test.
An individual will be ask to remove any electronic device and deposit it in a container on my desk until the proctoring procedure has been completed.
It is not necessary for the individual to bring a writing instrument. All courses and testing material are on-line and only required a keyboard.
Dictionaries are located at each of the stations.
Beginning a test
After reviewing instructions for on-line testing, trainees begin by performing the following steps:
1. Click on “Start Test” or “Start Quiz.” Trainees should use only the left button on the mouse; using the right mouse button may delete information.
Answer all questions. (Unanswered questions will be scored as “incorrect.”)
Testing policy
Test proctors review the testing policy with trainees or instruct them to read the policy posted at the front of the testing area. The test proctor informs trainees of the following criteria:
- Eighty percent (80%) or better is required to pass a Central Training-Institutional Tracking System (CT ITS) test.
- In accordance with ISD 781-1.0 Conduct of Training Manual, CT ITS test proctors are required to notify the trainee’s line manager when a trainee fails a CT ITS test.
- CT ITS testing policy allows tests to be taken three times within a 60-day period.
- If the test is not successfully completed in three attempts, the trainee must wait 6 months from the first attempt to take the test again.
- Trainees must wait at least 1 hour before retaking a CT ITS test.
- Trainees must contact the test administrator to make arrangements for retaking a CT ITS test.
Trainees may contact the course administrator/instructor to make arrangements for remediation should it be desired.
Rules of conduct
Trainees shall comply with the following rules of conduct:
- Do not bring cell phones, pagers, cameras, blue tooth devices, or other electronic devices into the testing area.
- Do not talk with other trainees during the testing session.
- Do not copy test questions or answers or highlight training material during test sessions.
Hand the proctor all paper used to process formulas, math problems, etc., before leaving the testing area.
Security issues
CT ITS reserves the right to revoke an individual’s testing privileges for violating testing security. If a proctor identifies a security violation, the proctor shall stop the test and inform the trainee that he or she has failed the test. The proctor shall complete an incident report and copy the CT ITS Testing Support team leader and the trainee’s line manager. The line manager will determine and administer disciplinary action. Violations of testing security include but are not limited to the following actions:
- Copying test or quiz questions or answers
- Obtaining test or quiz questions and/or answers from another worker
- Providing test or quiz questions and/or answers to another worker
- removing testing materials from test or quiz sites, including copying, e mailing, or printing any portion of the test or quiz
- presenting false identification or assuming the identity of another worker
- Falsifying test or quiz results and/or records
- retrieving test or quiz questions from the Training Validation System (TVS) without authorization from the CT ITS Training Support team leader
- Exiting a test or quiz to access other databases or information when under administrative control
Course credit
Entering the individual’s z number at the proctoring station will authorize course credit.
The individual will receive a hard copy of the credit confirmation sheet to retain for his or her own files. It is up to each individual group if they would like a copy of the confirmation sheet for their records.
The proctor will also retain a copy to verify that the individual has been given course credit. Once the credit has been entered into the system and the proctor verifies it, the hard copy will be destroyed.
Each individual who comes to the site and takes a training course will sign an attendance sheet. The original sheet is sent to Central Training and a copy is maintained at the proctor site. Therefore, if a question arises about an individual the attendance sheet will be available as a reference.

T-Division Required Reading for Visitors
Short-Term Visitors (10 days or less in a 12-month period)
Short-term visitors at Los Alamos National Laboratory (LANL) who are onsite for 10 days or less in a 12-month period are required to complete Required Reading for Short-Term Visitors in Theoretical Division. To get credit for the required reading, see the instructions on page 12 of the required reading.
Long-Term Visitors (11 days or more in a 12-month period)
