Time & Effort

You must submit your hours worked each week or risk forfeiting being paid. Reporting hours is also known as 'time and effort' (T&E). Most groups in EES division require work hours to be reported electronically through the T&E system. To report hours worked, you must know the charge codes for the accounts through which your salary is paid. Your salary may come from more than one source, multiple charge codes. More information about charge codes and how much time should be charged to each can be obtained through from your 1) supervisor, 2) group administrator, or 3) group budget coordinator.

The Work Week - You must report each work hour of every working day of the week. The LANL standard work week was 40 hours worked over 5 days (5/40 schedule) but has changed to 80 hours worked over 9 days (9/80 schedule). By working 80 hours over 9 days, you are off every other Friday. The Friday that you DO work is an 8-hour day and all other work days are 9 hour days. There are two 9/80 schedules, A and B, which alternate Fridays off. You will select a work schedule. Some people prefer the 5/40 for reasons like childcare or carpooling.

Exempt vs. Non-Exempt - Employees are classified either 'exempt' or 'non-exempt' for purposes of accounting for overtime. Exempt employees are paid on a salary basis, and are not entitled to overtime pay, and non-exempt employees are paid hourly. UGSs are non-exempt and GRAs are exempt. If you are on a 5/40 schedule, you must account for 40 hours of work per week. On the 9/80 schedule, you account for 44 hours the first week in the pay period and 36 hours the second week. This will vary if you work part-time.

Codes - In submitting hours, each individual is required to submit time, charge codes, and how the time is divided among various charge codes. Time codes include R (Report Pay or regular work hour), V (vacation), S (sick leave), etc. A list of all the categories is available through the online time and effort reporting system. Charge codes include a cost center, a program code, and a work package. Your supervisor or group administrator can assist you in determining which codes to use. Generally, employees are required to submit their hours before noon on either Thursday (if you have Friday off) or on Friday.

Reporting Your Time - You report your time either to your group office administrator or enter it electronically, part of the Enterprise information application service. Check with your mentor to find out how you should report your time. Information about how to install this application on your own computer is provided at the above web address. The installation is generally performed by the group computer system administrator. In order to access this application online, you need to have a 'CryptoCard', which can be obtained through CCN-5 Group.
