Position Overview

Provides professional support to SB-PF as a subject matter expert and a primary point of contact for TA-55 Unreviewed Safety Question program administration. Duties may include: providing direction regarding proper execution of the program, defining organizational objectives, work planning and prioritization, assisting with internal and external assessments of the TA-55 USQ program, tracking corrective actions, primary responsibility for maintaining all TA-55 USQ records, document quality assurance, database creation and management, major contributor to the development and administration of a training and qualification program for TA-55 USQ qualified evaluators, procedure writing/editing, and the preparation of memorandums, flowcharts, reports, desktop instructions and other documents.

Key Position Requirements

Extensive administrative experience and proven abilities in executive office and project management, strategic planning, process improvement initiatives, and workforce analysis. Proven record of success leading cross-organizational initiatives, and ability to work with minimal direction, experience with standardized software packages and creating/ maintaining databases, ability to develop and manage multiple tracking systems. Knowledge of LANL document control procedures, training experience including adult learning theory, conduct of training, and EDS. Experience in the preparation and editing of reports and presentations, demonstrated excellence in interpersonal and communication skills.

Summary

Provides professional business, operational, and/or programmatic support for specialized functions, programs, and/or organizations. Specific duties may include, but are not necessarily limited to, providing resource and project management; conducting research and assembling data for assigned specialized reports, presentations, and/or planning documents; planning meetings and conferences; and assisting in the analysis, design and implementation of business, operational, and/or programmatic initiatives to ensure organizational objectives.

NOTE:  This function is most closely related to professional support activities requiring specialized knowledge of functions, organizations, and/or programs.

Job Duties

  1. Safety and security are a primary responsibility for all Laboratory employees.   2. Provides professional support for specialized functions, organizations, and/or programs, typically requiring a full understanding of specialized areas and working knowledge of related fields.
  3. Conducts research and assembles data for assigned projects related to specialized functions, organizations, and/or programs for a diverse range of complex problems where analysis of data requires an evaluation of identifiable factors.
  4. Under limited direction, composes a variety of specialized reports, presentations, and/or planning documents related to specialized functions, organizations, and/or programs.
  5. Under limited direction, coordinates and assists in planning logistics, scheduling, announcements, and administrative facilitation of business, operational, and/or programmatic meetings and/or conferences.
  6. Conducts analysis, design, and/or implementation of business, operational, and/or programmatic-related initiatives to promote and ensure organizational objectives.
  7. May track and report progress toward business, operational, and/or programmatic goals and objectives.
  8. Acts as a resource regarding, and provides input on changes to, policies, processes, procedures, and guidelines related to specialized functions, organizations, and/or programs.
  9. Handles sensitive information and may handle classified matter.
  10. Understands and adheres to all Laboratory and regulatory guidance and governance specific to policies and procedures.
  11. Ensures all results, materials, processes, and final products meet quality specifications and are completed according to established requirements.
  12. Fosters a mutually respectful work environment that is free from discrimination and harassment.

Job Knowledge

  • Knowledge of and experience in a professional discipline relevant to specialized functions, organizations, and/or programs.
  • Knowledge of and experience with standardized software packages, including required software for specialized functions, organizations, and/or programs.
  • Knowledge of the Laboratory's organizational structure and policies, practices, and procedures.
  • Knowledge of policies, practices, and procedures related to the assigned areas specialized functions.
  • Knowledge of governmental regulations and potential environmental impacts related to the assigned areas specialized functions.
  • Skill and experience in conducting research, investigating alternatives, and recommending solutions on problems affecting business, operational, and/or programmatic oversight of the assigned areas specialized functions.
  • Skill and experience in the preparation of reports, including specialized reports related to the assigned areas functions.
  • Excellent oral and written communication skills.
  • Excellent customer service skills.
  • Ability to interact effectively with all levels of internal and external personnel, including networking with senior internal and external personnel.
  • Ability to organize, prioritize, and follow-through to completion on multiple tasks, under strict deadlines and changing priorities.
  • Ability to work with sensitive information and/or classified matter.

Education

  • Position typically requires a bachelor’s degree and a minimum five years of related experience, or an equivalent combination of education and experience.
  • Undergraduate coursework is typically expected at this level.

Direction

A. Supervision Received

  • Receives functional and operational direction from the assigned manager.

B. Supervision Exercised

  • May provide guidance to and/or supervise the work of administrative personnel and/or students.

C. Contacts

  • Regular contact with all levels of Laboratory staff and management to provide professional support activities and information.
  • Regular contact with sources and affiliates external to the Laboratory to receive and/or convey information.
