Travel - Domestic & Foreign

Domestic Travel - - You must submit forms enumerating your purpose, itinerary, travel arrangements, and cost estimates for domestic travel. Travel also requires approval of group leader. It is generally best to consult with group administrator when beginning to plan your travel for help on what you need to do and when. Access travel forms, information, BUS phone numbers (travel specialists) via the domestic travel link.

Foreign Travel - Foreign travel is a lot more complex and travel to select sensitive countries even more complex. FT requires the approval of group leader, and, in some cases, the division director including division financial person and division safety officer, if field work is involved. You must submit your completed package of forms requesting approval of foreign travel with all the group and division signatures no later than 45 days before your departure date. The travel office will take your Cost Estimate form and estimate for you the air fare, per diem, lodging and miscellaneous expenses. From the travel office, your request for approval will be sent along for further internal approval and possibly to DOE. You may be required to fill in relevant responsible parties at DOE.

Forms - You can download the travel forms from the web. Look for telephone numbers for foreign travel specialists at the LANL Travel Office.

Approval of Travel - The office of Science and Technology Base (STB) reviews foreign travel requests and forwards them to DOE. Their Foreign Travel Handbook is available in HTML format and provides an overview of the foreign travel process as well as a lot of hand-holding through the whole process of obtaining approval. You will find contact information for people who can help you prepare your packet and foresee any stumbling blocks on the Travel Office home page.

After the Trip - Upon your return, file a trip report and a travel expense worksheet so that you can be reimbursed for your expenses using LANL charge codes.
