What are the different types of post award submissions?
I cannot work on a post award submission, even though the project director has approved my registration request. Why?

At times, I am not able to edit and/or submit some post award submissions. This happens in spite of me having the necessary privileges and Monitor Schedules section listing them. Why?
I do not see some of the post award submissions in Monitor Schedules section of the grant handbook, though they have been mentioned in the NGA. Why?

What are the different types of post award submissions? [Top]
Following are the different types of submissions:
  1. Noncompeting Continuations - Noncompeting budget period renewal applications.
  2. Performance Reports - Reports related to performance data for the program.
  3. Progress Reports - Reports related to the budget period or project period progress.
  4. Other Submissions - All other post award submissions that do not fall under the above three general categories. Examples are audit reports or other program specific post award submissions.

When the project director approves a user's request to add a grant to portfolio, not all privileges are granted for the user. The project director still has to grant other necessary privileges for the user to work on specific post award submission.

What are the different schedule statuses of a post award submission? [Top]
Following are the different schedule statuses of a post award submission:
  • Not Started - User has not started working on the post award submission.
  • In Progress - User has started working on the post award submission.
  • Submitted - User has completed and submitted the post award submission to HRSA. (This does not imply that your submission has been approved!)
  • Change Requested - HRSA has requested changes to the submitted post award submission and has reopened it for editing.
What is the difference between schedule status and post award submission status? [Top]
Schedule status refers to the status of the post award submission in terms of its submission life cycle. It does not reflect the review and approval of the post award submission by grants and/or program offices but merely the submission aspect. Schedule status has standard values described here.

Post Award Submission status on the other hand may be used by grants and/or program offices to communicate the review and approval status of the submission. The values in post award submission status can vary with the nature of the submission and the program. This field may also be used by HRSA to communicate with the grantees during submission process.

Though you have the edit and/or submit privileges to work on a post award submission, they are dependent on some time based events. The events and dependencies of these privileges on them are described below:

Available date of a post award submission elapses: Note the available date of the post award submission. Unless it elapses, the system will not allow you to work on the post award submission.

Due date of a post award submission elapses: When the due date of a post award submission elapses, users will not be able to submit them. They can continue to edit and/or view the post award submission.

Post Award Submission is submitted: When a post award submission is submitted to HRSA, the edit and submit privileges on that specific submission will be revoked from all users who had them. These users will continue to have the view privilege on the submission.

After submission, in case HRSA requests a change in the post award submission, it will be reopened for editing. (The status of the submission will become "Change Requested"). Privileges to Edit and Submit this post award submission will be granted to all users who have the privileges to edit and submit the same type of post award submission for this grant. Note that due date will still govern whether or not you can submit the post award submission!

I do not see some of the post award submissions in Monitor Schedules section of the grant handbook, though they have been mentioned in the NGA. Why? [Top]
Presently, HRSA EHBs support only specific post award submission types. It is recommended that you continue to use existing means/methods to submit the post award submissions that are not supported by HRSA EHBs. Please refer to all notice of grant awards for a complete list of post award submissions.
