Summary

Reporting to the Group Leader and Deputy Group Leader, the Administrative Specialist 3 will provide administrative and secretarial services to the staff of a large, complex technical organization, while maintaining an office environment of utmost professionalism, confidentiality and discretion. As a member of the administrative team, the AS-3 will be responsible for preparing domestic and foreign travel and reimbursements, purchasing, Time & Effort, correspondence, and calendar management. Key duties also include responsibility for security compliance and logging of visitors into cleared areas according to DOE and site guidelines and regulations, serving as Key and Core Custodian or alternate, overseeing the Dosimetry and/or Bioassay programs. The candidate will act as a Designated Procurement Representative, working with other DPRs in the group, to handle and process Purchase Requests, LVAs, BOAs, and P-Card orders. for The candidate will also develop maintain various group databases and logs. Additional responsibilities may include scheduling meetings, preparing PowerPoint presentations, preparing miscellaneous forms as required, and distributing mail. The candidate will be expected to work independently and as a member of a team, which requires close co-operation, adaptability, initiative and willingness to provide support wherever needed in a customer service oriented office.

Required Skills

Extensive experience and proven competence in performing high-level secretarial/administrative assistance in a busy, complex office environment. Knowledge of site-specific and DOE escorting regulations for U.S. and foreign visitors. Experience developing and maintaining databases using Access or Filemaker Pro. Proficiency using PCs, with knowledge of standard office software including: Microsoft Word, Excel, PowerPoint, Meeting Maker, and Eudora. Excellent organizational skills and demonstrated experience organizing and prioritizing tasks, taking initiative and assuming responsibility for projects and action items from conception to completion. Demonstrated experience making effective decisions, and researching, analyzing, and solving complex problems. Demonstrated ability to work independently while working as a member of a team. Excellent oral and written communication skills, with a high level of accuracy and attention to detail. Excellent interpersonal skills and experience interacting professionally with all levels of employees, managers and external contacts, while providing excellent customer service in a high-pressure environment. Demonstrated excellent record of attendance, dependability, flexibility and availability. This position requires a Q access authorization.

Desired Skills

Knowledge of Laboratory organizational structure and administrative policies and procedures. Demonstrated competence in using Lab-wide administrative systems, such as Travel, Purchasing, Time & Effort. Experience working in a technical organization.

Education

Associates degree in business or administrative field or an equivalent combination of education and professional experience.
