Description

The Office of International Science and Engineering (OISE) will be hosting the 2008 East Asia and Pacific Institutes (EAPSI) orientation to be held March 30, 2008 - April 1, 2008 for a summer research program.

The following requirements are needed:

The event will begin at 6:00 PM on 3/30/2008 and conclude at 3:00 PM on 4/1/2008.

Proposed event dates: March 30- April 1, 2008 (Preferred Dates)

Alternate dates: April 6-8, 2008

Location: Arlington, Virginia

Other requirements: The space must be located on a Metro line, provides access to food and beverages on-site or be located near eating establishments, and have on-site or access to fitness center.

Other information: Participants of this orientation will arrive on 3/30/2008 with the first session beginning at 6:00 PM that evening.

Lodging Requirements
Sleeping rooms: A block of 180 single occupancy-sleeping rooms will be required, under contract.

Meeting Space Requirements

Meeting rooms: One theater style general session room, for 200, is required for all three days (6pm on 3/30/2008 thru 4/1/2008). The room should contain a head table for 6 on a riser, standing podium, and 3 water stations.

Breakout rooms: Seven (7) adjacent, centrally located, breakout rooms are required for 3/31/2008 and 4/1/2008. Five (5) of these rooms should accommodate an audience of 25 each; one (1) of these rooms should accommodate an audience of 35, and one (1) of these room should accommodate an audience of 65. In addition, each room requires a head table with 4 seats for panelists. Each room requires that water is available for the panelists. The large breakout room additionally requires a podium.

Registration room/space:
Registration space will be required for 3/30/2008 (evening) with (2) 6 foot skirted tables with 2 chairs each and a wastebasket.
Registration space will be required for 3/31/2008 (morning) with (4) 6 foot skirted tables with 2 chairs each and a wastebasket. Registration space should be adjacent to the general session room if feasible.

Audio Visual and/or Information Technology Requirements

LCD data projector package (includes laptop, screen, cables, etc.): A total of 8 projector packages are required for the event. One (1) projector package is required for the general session room the entire event (3/30/2008 thru 4/1/2008). Seven (7) additional projector packages are required for the breakout rooms for 3/31/2008 and 4/1/2008. All 8 projector packages must have the capability to play a DVD.
Microphones with mixers and cables: A total of 2 audio systems are required for the event. One (1) audio system is required in the general session room the entire event (from 6pm on 3/30/2008 thru 3pm on 4/1/2008). It should include two microphones: one on the podium and one on the head table. One (1) audio system with one microphone is required for the large breakout room for 3/31/2008 and 4/1/2008.

Meal / Break Requirements

Breakfast: Continental breakfasts are required for 200 for the mornings of 3/31/2008 and 4/1/2008.

AM break: AM breaks are required for 180 at 10:00 on 3/31/2008 and 4/1/2008.

PM break: PM break is required for 180 at 3:00 on 3/31/2008.
