In general, notes in each category should be assumed to apply to all cores for which the element is valid.  Notes that list a particular format or formats pertain only to the designated core.

Leader & Directory

1) Applying the latest version of the National Level Record -- Bibliographic Full Level & Minimal Level (NLR) standard, code all positions of the Leader and Directory designated by the NLR as mandatory. The NLR is available at: http://www.loc.gov/marc/bibliographic/nlr/   Note: Depending on the individual automated system or bibliographic utility, part or all of the Leader and Directory may be system supplied.  Generally speaking, users will have to supply values for the following Leader positions:

17) Cartographic materials: According to current cataloging practice, although it is optional, if bounding coordinates appear on a cartographic item they are included in the bibliographic record in two places: in subfield $c of the 255 field in the form of degrees, minutes, and seconds; and in  subfields $d, $e, $f, and $g of the 034 field in the form of cardinal direction and numerical value. If supplying geographic coordinates in the 255 field, one must also supply geographic coordinates in the 034 field. It is strongly encouraged that this practice of recording coordinates be applied within the core level record.

18) Graphic materials: Minimally, supply readily available publisher number(s) (i.e. numbers appearing on the item, container, etc.)

19) Rare Books: Since the use of DCRB is required in this cataloging standard, the designation "dcrb" in subfield $e is necessary as a form of proof. Please note that the first version of these rules (BDRB) may not be considered for this cataloging.

20) Sound recordings: Code $d for multilingual items.  Code $h for translations if readily available.

21) Printed/Manuscript music: Code $a for multilingual items.  Code $h for translations if readily available.

23) Assign at least one classification number from an established classification system recognized in the MARC 21 Format for Bibliographic Data.

24) Rare Books: Since institutional practices for rare books often involve locally formulated call numbers, a requirement for a national standard classification could cause additional or undue effort for creators of DCRB Core records. Considering, too, that the users of these records may also be using locally formulated call numbers, the value of creating them further diminishes. If an institution supplies standard call numbers to materials covered by the DCRB Core record standard, it is encouraged to add these numbers in the appropriate call number field.

240 (Uniform Title)

25) Supply a uniform title if it is known or can be readily inferred from the item being cataloged.  For sound recordings and printed and manuscript music, supply as for full cataloging.

245-4XX

26) Rare Books: One of the basic overarching differences between AACR2 and DCRB is the method and extent to which bibliographic details (fields 245-4XX) are recorded. As to method, bibliographic details should be recorded as correctly as possible, according to the style expected for the field. As to extent, DCRB provides some options for abbreviating descriptive fields, and creators of core records for rare books are encouraged to invoke these options wherever pertinent.

245 (Title Statement)

27) Subfield $a is Mandatory; all other subfields are mandatory if applicable.  Subfield $h is mandatory for microforms (Books, Rare Books, Graphic Materials, Printed/Manuscript music, Collections, Cartographic Materials).  Subfield $h is also mandatory for Electronic Resources.

28) Sound recordings, Printed/Manuscript music: In cases of multiple parallel titles, MINIMALLY include the first title and any English parallel title.

29) Collections: Supply a short, descriptive, cataloger-constructed title when needed.  Enclose it in square brackets or not as specified by AACR2 or any of the specialized cataloging rules being followed.

246 (Varying Form of Title)

30) Use judgment in assessing each item or collection and assign a complement of title variants that covers variations deemed important and coded as appropriate. The importance of title variant access information is intended to reflect individual cataloger's judgment and/or local institutional policy.

32) Electronic resources: For direct access files: Mandatory. Not applicable to remote access files.

33) Graphic materials, Moving image materials: Minimally, concisely supply the extent of any significant accompanying material.

34) Collections: Indicate the extent of the collection either by giving it or estimating it in terms  appropriate to the material being described, e.g, the number of pieces, the number of containers.

352 (Digital Graphic Representation)

4XX (Series statement)

35) Transcribe all series as found on an item in either a 490 or a 440 field. All traced series must be supported by a national level authority record. Untraced series need not be supported by a national level authority record. If a national level series authority record already exists for the series, follow the first tracing practice indicated on the record and record the series and tracing appropriately (i.e., in a 490 field, a 440 field or a 490/8XX pairing)

5XX (Notes)

36) Only those notes that support identification of item need be included. Criteria may vary from one type of material to another. Notes are not required to justify added entries.

37) Rare Books: DCRB prescribes transcription of the title, edition and publication areas as they appear on the book; sometimes, however, in a similar fashion as AACR2 transcription rules, DCRB calls for transposition of data elements. In such cases, only the note about the transposition of title area elements is required in DCRB Core. Other notes required in DCRB full are not required in DCRB Core except as required by the Books core or elsewhere in DCRB Core (cf. requirement 5 on citation notes).

38) Collections: Use judgment in considering whether notes, if any, would make the record more useful by providing important information about the collection being represented.  Some examples might be: a brief note describing the nature of the collection when the title is generic and nearly meaningless on its own and subject headings are broad; a note indicating a supplementary finding aid when one exists; a partial contents note when certain items in the collection are important but are not cataloged separately.

45) Cartographic Materials: Map dates are an extremely important aspect of the bibliographic record, in particular because the information displayed on a map is tied to a specific point in time. A note that serves to justify the date of situation should be included when the date of situation is not provided elsewhere in the description such as in the title or statement of responsibility. This note may be given by quoting specific information from the item, e.g. copyright information, giving a numerical or alpha-numerical code, or by providing the source of an externally-determined date.

500 (Digital datasets note)

46) Cartographic Materials: Assign, for digital datasets, a note for resolution regarding the size of the smallest object that may be discerned in the set if it is known or can be readily ascertained from the item being cataloged.

47) Supply a dissertation note for unpublished theses.

48) Supply as appropriate for collections, compilations, or for multi-part items with separate titles.

510 (Citation/References Note)

49) Rare Books: Citation notes should be used as a means of abbreviating excessive description of the item. As with DCRB, the five references sources listed in 7C14 for non-incunabula are required in DCRB Core, if they apply. When other citations are used, it is further suggested that the cataloger should prefer a source that provides the fullest or most authoritative information, to keep iterations of citations to a minimum.

511 (Participant or Performer Note)

50) Moving image materials: For a core record, the 511 is required only if necessary for proper identification of the item.  If so, minimally, supply those names judged necessary to assure accurate identification of the item.

520 (Summary, etc.)

51) Electronic resources, Graphic materials, Moving image materials, Non-music sound recordings.  Minimally, supply a brief summary note if the content of the item is not obvious from the rest of the bibliographic record.

52) Cartographic Materials: In general, for materials that are reproductions or republications, the convention is to use field 534 to record data pertaining to the original. However, this does not preclude the use of field 533 when judged appropriate, e.g., in the case of microforms.

538 (System Details Note)

53) Electronic resources.  For remote access electronic resources: Make a "Mode of access" note according to Chapter 9 of AACR2.  For direct access electronic resources: Make a "System requirements" note according to Chapter 9 of AACR2.  When constructing a system requirements note (per rule 9.7B1b), it may be necessary to indicate software requirements in terms of the file types that must be processed by the software.

538   $a System requirements: computer with appropriate RAM and ROM as specified by software manual; program that can manipulate .dwg or .dxf  files; CD drive.

54) Sound recordings, Printed/Mansucript music: Include the language of the sung text if not implied from the uniform title (240) or title transcription (245).

552 (Entity and Attribute Note/Overview)

6XX (Subject access fields)

55) Use judgment in assessing each item and, if appropriate, assign a complement of headings that provides access to the primary/essential subject and/or form of the work (as opposed to secondary or tertiary aspects) at the appropriate level of specificity.  Assign such headings from an established thesaurus or subject heading system and/or an appropriate genre/form list recognized by the MARC 21 Format for Bibliographic Data.  In focusing on the primary subject aspect, follow the conventions of the particular subject heading system being used, including instances in which paired or related headings are needed to represent fully the primary subject aspect.

56) Music sound recordings: If appropriate, assign at least one to three subject headings from an established thesaurus or subject heading system recognized by the MARC 21 Format for Bibliographic Data.  A recording of three major classical works, for example, may receive up to three headings. If more than three works are involved, assign 1-3 broader headings as necessary.

655 (Index Term -- Genre/Form)

57) Rare Books: Addition of genre/form terms to the DCRB Core record is encouraged if local policy calls for use of such terms, as appropriate to the piece. These should be taken from one of the official Rare Books and Manuscripts Section (RMBS) thesauri maintained by the RBMS Bibliographic Standards Committee; in addition, terms from any other authorized thesaurus (e.g, the Art and Architecture Thesaurus) may be used as appropriate.

7XX (Added entries)

58) Use judgment in assessing each item and assign a complement of added entries that covers the primary relationships associated with the manifestation of which the item is a part.  The inclusion and importance of added entries are intended to reflect individual cataloger's judgment and/or local institutional policy.

Examples from the various formats:

Books, Rare Books:  joint authors, corporate bodies, titles of related works

Electronic resources: writers, programmers, principal investigators, producers, featured composers, animators, other artists

Graphic materials: added entries/linking entries for featured photographers, other artists, related work entries for named images/works of art, related work entry for an adaptation of a literary or dramatic work

Moving images:  director of a feature/short/documentary film, related work entryfor an adaptation of a literary or dramatic work, related work entry for a television series, related work entries for works of music or dance if the works of music or dance are closely related to the content and purpose of the moving image work

Sound recordings: principal participants/performers; analytical added entry for the second work when a recording containing two works is entered under the first work; analytical added entries for classical recordings may be made as in full cataloging when controlled access is important

Printed/Manuscript music: arrangers, editors, librettists; include an analytical added entry for the second work when a publication containing two works is entered under the first.  Analytical added entries for classical music may be made as in full cataloging when controlled access is important

Collections: Use judgment in assessing each collection and assign a complement of added entries that covers the primary relationships associated with the collection as a whole (e.g., a collection of articles by the same two authors would result in a 1XX entry for one author and a 7XX added entry for the other).
